Summary/Objective

The Marketing/Event Sales Coordinator position contributes to the overall mission of Sunset Zoo by marketing selling and coordinating Zoo event space(s) as well as contributing to the marketing efforts of the Zoo. This position is responsible for providing excellent customer service relationship management handling all customer inquiries and serving as the point of contact for all event details. The Marketing/Event Sales Coordinator oversees the coordination of all event information and resources and is responsible for account management sales prospecting and business development. As needed this position will assist the Marketing/Development Officer with Zoo special events social media outreach and communications.


Essential Functions

Assists in the coordination and implementation of marketing and development operations at the zoo.

  • Executes a successful sales program that includes managing event sales while identifying new prospects and at least one event a year that promotes generating new sales leads.
  • Recruits retains and grows event rentals by developing good customer relations by meeting with clients providing consults and providing information to potential clients and vendors.
  • Plans and coordinates all aspects of events including booking obtaining all logistics of event proactively communicates with clients both before and after events.
  • Establishes and maintains an active database to track event sales and fees that can produce sales reports projections and proper event tracking.
  • Participates in the design and production of all marketing materials related to events with the Zoo and event sales including advertising press releases customer communication posters/flyers newsletters brochures calendars and electronic media.
  • Administers and conducts VIP tours of the Zoo as requested by senior staff.
  • Assists in retaining exotic and domestic animals.
  • Works with affiliate groups to ensure fundraising events are successful.
  • Proficient with Civic Rec software to be able to train staff and share information with clients as well as employees.

Coordinates special events and supervises volunteer staff.

  • Hires and trains staff members as needed.
  • Provides supervision and oversight of applicable staff.
  • Coordinates schedules of applicable staff.
  • Administers City of Manhattan Policies and Procedures in a consistent manner.
  • Ensures employees supervised demonstrate productivity competence and high morale as well as utilize employees skills and abilities.
  • Conducts performance planning and evaluations for employees in a timely manner to include development of goals objectives and deadlines.
  • Resolves routine personnel issues or problems.
  • Leads and manage staff with clear and consistent communications.
  • Supervises staff and volunteers at events as needed including but not limited to all administrative staff keepers guest service and education staff.
  • Schedules trains and supervises all seasonal event related staff related to event duties.

Performs additional duties as required.

  • Attends required meetings and training.
  • Prepares reports.
  • Serves as part of the Zoo Administrative Team responsible for zoo operations exercising independent judgement in supervising staff on duty and handling emergency situations.
  • Cross trains in the area of Guest Services to aid in the gift shop/ticket window as needed.
  • Manages unpleasant interactions and stress caused by irate and/or defensive customers.
  • Represents Sunset Zoo at community events as needed.
  • Ensures compliancy with all applicable regulations policies and procedures in all duties.
Requirements

Required Education and Experience

  • High school diploma or equivalent.
  • Two (2) years experience in the field of hospitality or event management.
  • Valid drivers license.

Preferred Education and Experience

  • Bachelors degree in Hospitality Management Strategic Communications Events Management or a related field.
  • Three (3) years experience in hospitality field.
