An Administrative Assistant at Teneo plays a critical role in supporting senior business leaders and their Executive Assistants ensuring seamless operations and providing best-in-class service to support both the teams and individuals that they work with. With an initiative-taking mindset and strong organizational skills the ideal candidate will thrive in a fast-paced environment effectively managing multiple tasks and priorities with professionalism and discretion. They are responsible for providing a seamless foundation of administration that allows teams to function as well as work closely with Executives and their Assistants to proactively support and anticipate their needs and understand their priorities.

The Administrative Assistant will oversee assigned projects or activities coordinate daily schedules/calendars prepare for meetings and manage travel. The ideal candidate will function under tight deadlines in a fast-paced highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. They will pre-empt issues or problems before they arise collaborating closely with the Executive(s) and as a point person for when their Executive(s) is unavailable. Administrative Assistants are also responsible for building relationships with counterparts at client organization and across the Teneo network.

Responsibilities:

  • Provide support to the New York Executive Assistants and their executives including ad hoc tasks and coverage during annual leave or sick absences
  • Proactively manage Executives calendars prioritizing correspondence managing communications between them and executives employees and external contacts
  • Coordinate internal and external meetings including project meetings and ensure necessary logistics are arranged across time zones if necessary
  • Provide direct support to senior executive(s) assisting with client interactions team coordination and administrative tasks to ensure timely project delivery
  • Anticipate upcoming events and meetings preparing executives with necessary materials and maintaining a long-term perspective on organization goals
  • Serve as a point of contact for senior executives and the support team handling communications and interactions with utmost professionalism and confidentiality
  • Assist with travel arrangements considering executives priorities and managing complex itineraries efficiently
  • Undertake additional administrative responsibilities such as filing document management maintaining records and reconciling travel & expense reports invoices etc.
  • Manage operational aspects of executives roles including project setup and proposal preparation
  • Maintain confidentiality and business-sensitive information with discretion
  • Embrace agile working practices and support team members during absences or busy periods
  • Lead by example fostering teamwork collaboration and a positive office environment
  • Foster positive relationships with counterparts at client offices and build knowledge of key clients
  • Manage miscellaneous personal requests
  • Support executives beyond traditional working hours and during travel or international assignments

Qualifications:

  • Minimum 2 years experience in a corporate environment providing support for senior-level executives
  • Excellent written and oral communication skills are necessary
  • Proficiency in Microsoft Office including Word Excel and PowerPoint
  • Ability to anticipate needs and proactively address potential issues with sound judgment and discretion
  • Meticulous commitment to delivering high-quality client ready work
  • Ability to adapt to changing priorities and thrive in a fast-paced environment
  • Commitment to learning and professional development
  • Experience using Robin Concur MS Teams and NetSuite a plus

Il/Elle assurera une gestion administrative fluide et efficace pour le bon fonctionnement des quipes et travaillera en troite collaboration avec les dirigeants et leurs assistants afin de les accompagner et danticiper leurs besoins de manire proactive et de comprendre leurs priorits.

Lassistant(e) administratif(ve) supervisera les projets ou activits qui lui sont confis coordonnera les plannings quotidiens prparera les runions et grera les dplacements. Le/La candidat(e) idal(e) travaillera dans des dlais serrs dans un environnement de travail dynamique et exigeant tout en faisant preuve dun excellent service client et dun professionnalisme irrprochable dans toutes ses interactions. Il/Elle anticipera les problmes avant quils ne surviennent en collaborant troitement avec les dirigeants et en tant linterlocuteur privilgi en cas dindisponibilit de ces derniers. Les assistants administratifs sont galement chargs dtablir des relations avec leurs homologues au sein de lorganisation cliente et travers le rseau Teneo.

Responsabilits:

  • Soutenir les assistants de direction de New York et leurs cadres notamment pour des tches ponctuelles et des remplacements pendant les congs annuels ou les absences maladie.
  • Grer proactivement les agendas des cadres prioriser la correspondance et grer les communications entre eux et les cadres les employs et les contacts externes.
  • Coordonner les runions internes et externes y compris les runions de projet et assurer la logistique ncessaire sur plusieurs fuseaux horaires si ncessaire.
  • Fournir un soutien direct aux cadres suprieurs en les aidant dans les interactions avec les clients la coordination des quipes et les tches administratives afin de garantir la livraison des projets dans les dlais.
  • Anticiper les vnements et les runions venir prparer les cadres avec les documents ncessaires et maintenir une perspective long terme sur les objectifs de lorganisation.
  • Servir de point de contact pour les cadres suprieurs et lquipe de soutien en grant les communications et les interactions avec le plus grand professionnalisme et la plus grande confidentialit.
  • Participer lorganisation des voyages en tenant compte des priorits des cadres et en grant efficacement les itinraires complexes.
  • Assumer des responsabilits administratives supplmentaires telles que le classement la gestion des documents la tenue des dossiers et le rapprochement des notes de frais et des notes de frais des factures etc.
  • Grer les aspects oprationnels des fonctions des cadres notamment la mise en place de projets et la prparation des propositions.
  • Prserver la confidentialit et les informations sensibles de lentreprise avec discrtion.
  • Adopter des pratiques de travail agiles et soutenir les membres de lquipe en cas dabsence ou de forte activit.
  • Montrer lexemple en favorisant le travail dquipe la collaboration et un environnement de travail positif.
  • Entretenir des relations positives avec les homologues des bureaux des clients et dvelopper la connaissance des clients cls.
  • Grer diverses demandes personnelles.
  • Soutenir les cadres en dehors des heures de travail traditionnelles et lors de dplacements ou de missions internationales.

Qualifications:

  • Minimum 2ans dexprience en entreprise en soutien aux cadres suprieurs
  • Excellentes comptences en communication crite et orale requises
  • Matrise de Microsoft Office notamment Word Excel et PowerPoint
  • Capacit anticiper les besoins et grer proactivement les ventuels problmes avec discernement et discrtion
