Job Description

Position Title: IBHS Coordinator
Location: Wilmington North Carolina
Employment Status: Full-Time

General Summary
The IBHS Coordinator is a key member of the North Carolina National Guards Integrated Behavioral Health System (IBHS) team supporting the coordination and delivery of behavioral health services to Service Members Reserve Component personnel and their families. This position provides essential program management logistical coordination and quality assurance for the IBHS program in the Wilmington area.
Minimum Education and Experience Requirements
  • Bachelors or Masters degree in a behavioral health or social science field.
  • At least 1 year of post-graduate experience in behavioral health program management (preferred).
  • Experience working with community agencies and military personnel is highly desirable.
Licensure and Certification
  • Current certification or licensure in an evidence-based treatment for psychological trauma is required.
Core Responsibilities and Duties
Daily Responsibilities:
  • Coordinate scheduling of clinical and non-clinical staff to ensure adequate coverage for:
    • 24/7 IBHS hotline
    • Routine daily operations
    • Special events such as Yellow Ribbon events deployments reintegration briefings Family Programs activities and Military Funeral Honors training
  • Serve as liaison with the HIPAA-compliant answering service to maintain real-time synchronization with the IBHS calendar.
  • Generate and submit pre-travel authorization requests to the Contracting Officers Representative (COR) at least 14 days prior to any scheduled travel.
  • Maintain and organize client consent forms and ensure timely EMR system updates in collaboration with G6.
  • Perform quality control and assurance on Electronic Medical Record (EMR) documentation to ensure accuracy confidentiality and compliance with NCARNG/G6 standards.
  • Supervise Health & Wellness Advocates to ensure comprehensive behavioral health services are delivered including crisis intervention psychological assessment treatment planning psychotherapy and other supportive counseling services.
As-Needed Responsibilities:
  • Act in the capacity of the IBHS Director during short-term absences ensuring seamless continuity of operations.
Additional Requirements
  • Adhere strictly to all HIPAA and Privacy Act regulations; educate clients on their rights regarding the use of personal health information.
  • Uphold professional ethics and boundaries in all client interactions.
  • Document all client-related interactions in the secured IBHS Electronic Medical Record (EMR) system.
  • Maintain familiarity with state federal and military behavioral health regulations and IBHS Standard Operating Procedures (SOPs).
  • Attend NCNG IBHS trainings and professional development activities including performance improvement and research initiatives.
  • Participate in IBHS Hotline rotation as scheduled providing 24/7 availability in accordance with SOPs.
  • Assist in connecting Service Members to behavioral health resources within the Military Treatment Facility (MTF) VA TRICARE or civilian provider networks.
