The Registrar at the Charleston School of Law is a professional who provides leadership in the areas of records and enrollment. As a member of the Academic Affairs staff the Registrar reports directly to the Associate Dean for Academic Affairs. The Registrar is a critical member of the senior leadership team of the institution and is charged with maintaining student records utilizing guidance and standards established by accrediting bodies and professional organizations related to Law School records and managing course enrollment processes. The Registrar is expected to provide input in key discussions in their area of expertise and to remain updated on current standards practices and technology. The Registrar manages and is responsible for overseeing all functions of the Office of the Registrar to ensure that all processes are followed according to established Law School policies and procedures A.B.A. Standards and Guidelines professional practices and all applicable laws. The Registrar must be able to exercise independent judgment and possess decision-making skills that require tact diplomacy and discretion.
ESSENTIAL FUNCTIONS
Registration Recordkeeping and Operations
- Manages the Office of the Registrar and collaborates with a variety of other offices to ensure efficient student enrollment and record-keeping processes in compliance with professional state federal and accreditor guidelines and requirements.
- Supervises all procedures related to student records and registration including maintenance of all current and historical student records. Maintains accurate and up-to-date records within the student information system SONIS.
- Serves as the functional lead and expert for all activities related to student academic records within the student information system and in paper files.
- Serves as lead SONIS user maintaining thorough and up to date knowledge of SONIS capabilities staying up to date with SONIS releases and providing training for the Office of the Registrar staff and others as needed in SONIS procedures and capabilities.
- Becomes an expert in query and reporting within the SONIS system.
- Collaborates with the Information Technology department to identify and resolve issues within SONIS and to discover methods within SONIS by which records and registration services for the campus community can be continuously improved.
- Manages the staff within the Office of the Registrar ensuring that they are fully trained to perform the duties and responsibilities of their positions.
- Establishes and maintains written documentation for all processes and procedures routinely conducted by the Office of the Registrar.
- Serves as the Charleston School of Law records custodian.
- Establishes procedures to ensure proper records handling following standards established by professional organizations such as the ABA AACRAO governmental requirements and institutional policies.
- Maintains physical and electronic records per institutional records retention policy. Establishes standards by which records should be maintained and how they should be routinely discarded.
- Ensures the accuracy and timeliness of all records transactions within the Office of the Registrar.
- Ensures the integrity and confidentiality of all student academic records both current and historic.
- Manages the recording of all grades both initial submissions and subsequent grade changes.
- Within the provisions regarding student records privacy and confidentiality provides statistical reports for Administration faculty advising and governmental agencies.
- Responds per institutional policy to requests for data from external entities providing data where required and informing other requestors of limitations to data availability.
- Serves as the campus FERPA expert providing training to essential campus constituents and ensuring that policies and procedures are in place so that student records are managed in accordance with FERPA requirements.
- Prepares reports pertaining to both student academic honors and satisfactory academic progress to assign appropriate academic status at the conclusion of each semester.
- Runs academic status reports and in conjunction with the Office of Academic Affairs determines whether students are making Satisfactory Academic Progress (SAP).
- Works with the Deans and Associate Deans Offices to certify candidates for graduation and to prepare the necessary documentation for ordering diplomas including:
- Manages the graduation application process.
- Reviews degree audit reports for prospective graduates.
- Works with department heads to ensure accuracy and timeliness of graduation review and degree posting.
- Upon graduation updating status of graduates to alumni within SONIS.
- Participates in the preparation of accreditation and regulatory reports as required (ABA CNE IPEDS etc.)
- Ensures that the process of reporting enrollment and degree recipient data to the National Student Clearinghouse is conducted in a timely accurate and consistent manner.
- Ensures that practices and procedures surrounding the transcript process are up to date in keeping with current industry and professional standards.
- Creates the semester course schedule in conjunction with the Office of Academic Affairs.
- Sets up registration criteria within SONIS and communicates with students regarding registration dates and procedures.
- Manages the registration process including:
- Monitoring of system availability and operations.
- Ensuring only eligible students can enroll in courses with limitations and restrictions.
- Bulk registration of first year students in required courses.
- Managing registrations for all courses such as Independent Studies Fellows and Advocacy.
- Continuously seeks improvements in the registration process as well as all other functions of the Office of the Registrar.
- Prepares and distributes enrollment reports to the campus community.
- Maintains student records and folders according to institutional retention policy.
- Participates in Senior Leadership meetings and activities.
- Serves on campus committees related to student enrollment and records processes as well as other campus wide committees as requested/assigned.
- Provides advice and input to key campus administrators in the area of records and registration.
- Produces analytical reports as needed by the Dean other departments and outside agencies including reporting regarding student-related issues such as current enrollment historical information and projections; and coordinating the utilization and interpretation of data including evaluations of report design and program assessment.
- Overseeing the day-to-day operations of the Registrars Office in the Law School including staff supervision and budget matters.
Reporting
- Compiling and reporting enrollment data each semester in an accurate and timely manner.
- Compiling reports for ABA IPEDS and other reports for governmental and accreditation agencies according to established deadlines.
- Maintaining degree audit for all students monitoring student academic records for completion of all requirements.
- Preparing and compiling ad-hoc reports and analyzing data for the associate dean and other law school administrators.
Other responsibilities as assigned.
QUALIFICATIONS AND REQUIREMENTS
- A Bachelors Degree is required;
- experience as a Registrar Assistant Registrar or similar administrative position at a law school college or university is also required.
- Must have excellent communication management interpersonal and organizational skills including the ability to perform well under pressure.
- Exceptional ability to maneuver within databases and working knowledge of Microsoft Office applications (Word Excel PowerPoint).
- Experience creating and compiling sophisticated reports (Access Crystal SQL etc.).
- An ability to maintain a high level of confidentiality.
