Job Responsibilities

Administrative Coordinator II
The Department of Administrations (Admin) Office of Administrative Services (OAS) is seeking an Administrative Coordinator II to join the team. In this role you will plan coordinate and organize complex administrative support for senior management. Assist in day-to-day operations and communications within OAS to improve organizational effectiveness. Provide administrative duties of a confidential nature as required by senior management. Serve as cashier and agency data retention coordinator. Perform research and follow up of the vendor file as it impacts outstanding accounts payable transactions and assist with administrative procurement tasks for OAS to include proper recording and maintenance of assets.

Responsibilities of the Administrative Coordinator II:
  • Provide diverse administrative support and complete confidential assignments for senior management to assist in daily operations.
  • Compile and compose complex correspondence manuals accountability reports strategic planning documents and operational plans for senior management.
  • Coordinate activities and interact with agency representatives Admin staff vendors and citizens on behalf of management.
  • Coordinate appointments meetings and presentations for management.
  • Serve as cashier for various transactions.
  • Perform administrative procurement tasks using an enterprise materials management information system.
  • Assist with the recording and reporting of assets for Admin and supported agencies.
  • Oversee data retention policy for the agency. Ensure agency retention policy is followed and act as agency coordinator for retention. Update policies as needed.
  • Coordinate with supported agencies to maintain vendor database.

Minimum and Additional Requirements

  • A high school diploma and two years of experience in business management public administration or administrative services. A bachelors degree may be substituted for the required work experience.
Additional Requirements:
  • Knowledgeable of essential administrative tasks to include developing correspondence and other critical administrative activities.
  • Ability to compose and proof complex reports and documents.
  • Experience in the use of Microsoft Office products.
  • Ability to establish and maintain effective working relationships and exercise judgment and discretion in working with various levels of agency management.
  • Excellent communication and customer service skills.
  • Ability to work independently and set priorities with limited guidance.
