Duties and Responsibilities:

  1. *Under the direction of the Director of the Center for Korean Studies (CKS) perform a wide variety of programmatic support functions for the operations of the Center.
    *Coordinates and plans the Centers academic and general-interest public programs including but not limited to the colloquium series community lecture series conferences exhibitions and outreach programs.
  2. *Administers the various programs managed by CKS such as the Visiting Scholar Program Student Scholarship Program and the Research Grants Program.
    *Responsible for coordinating/facilitating the review of applications correspondence with relevant parties (visitors students faculty etc.) processing visa and/or disbursement of funds and orienting scholars for CKS programs.
  3. *Serves as point of contact for questions regarding Center-related issues concerning the University of Hawaii Foundation (UHF) accounts Visiting Scholars Student Scholarship and Faculty Research Grants Programs.
  4. *Responsible for processing personnel transactions for the Centers.
  5. *Assist Principal Investigators (PI) with preparing reviewing and submitting CKS grant proposals to funding agencies working in coordination with CALL Business Office and Office of Research Services.
  6. *Conducts monthly account reconciliations. Prepares budget status reports for the Center Director as necessary.
  7. *Reviews UHF accounts anticipates spending trends and adjusts UHF budgets accordingly.
  8. Serves as back up to the Administrative and Fiscal Support Specialist as needed.
  9. *In consultation with the Center Director develops annual UHF budget based on annual endowment distributions for each program account.
  10. *Prepares reviews and audits fiscal and procurement documents in accordance with applicable UHF The Research Corporation of the University of Hawaii (RCUH) and external funds policies and regulations.
  11. *Assist the Center Director with coordination and development of the CKS portion of the National Research Council (NRC) grant.
  12. *Works outside normally scheduled work hours including evenings weekends and/or holidays as directed.
  13. Other duties as assigned.

Minimum Qualifications:
  1. Possession of a baccalaureate degree in Arts & Sciences Business Administration or related field and 0 years of progressively responsible professional experience with responsibilities for event or program coordination; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Functional knowledge of principles practices and techniques in the area of event or program coordination demonstrated by knowledge understanding and ability to apply concepts terminology.
  3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with event or program coordination.
  4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of event or program coordination.
  5. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
  7. Demonstrated ability to operate a personal computer apply word processing software.
Desirable Qualifications:
  1. Demonstrated ability to read communications/correspondences and effectively communicate with internal and external organizations groups team members and individuals in Korean.
  2. Demonstrated ability to work with individuals and or groups from diverse cultural environments or backgrounds.
  3. Demonstrated ability to assist with organizing conferences symposia and outreach events.
  4. Experience working in an institution of higher education.
  5. Familiarity with Human Resources Information Systems (PeopleSoft NeoGov Online Leave etc.).
  6. Familiarity with UH (Kuali eTravel etc.) RCUH and/or UHF Financial systems and policies and procedures.
