Job Description

SUMMARY: The Chief of Staff for University Advancement serves as the senior advisor and operational leader for the Vice President for Advancement. The Chief of Staff is responsible for the effective integration of strategy systems and people across the division ensuring optimal performance and alignment with the universitys fundraising alumni engagement athletics fundraising and donor stewardship goals. This position manages high-level projects and directly oversees administrative operations including budget human resources technology and operational infrastructure (including Slate for Advancement and gift processing systems).

This is a full-time benefits-eligible position that reports to the Vice President for University Advancement.

This position is exempt from the provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities include:

Strategic Leadership & Division Operations

  • Serve as a senior advisor to the VP on strategy planning and operations across Advancement.
  • Lead division-wide project management prioritization and implementation of new initiatives.
  • Ensure strong internal communications and alignment between functional areas (development alumni relations donor relations advancement services etc.).

Gift Processing & Advancement Services

  • Oversee the Advancement Services team responsible for gift processing data integrity acknowledgement systems and reporting.
  • Lead the implementation and continuous improvement of Slate for Advancement (or similar CRM) ensuring it meets fundraising reporting and campaign needs.
  • Develop and enforce data governance policies in partnership with IT and compliance offices.

Donor Relations & Proposal Development

  • Collaborate with frontline fundraisers and the donor relations team to ensure that all donor-facing materials are strategic customized and aligned with university priorities.
  • Lead the drafting and review of high-level donor proposals including naming opportunities endowed gifts and campaign-related asks.
  • Work closely with the donor relations team to enhance stewardship strategies and donor impact reporting.

Budget & Financial Oversight

  • Manage the divisions annual budget planning process in partnership with the finance department.
  • Monitor budget performance and ensure responsible resource allocation and tracking.
  • Lead contracts procurement and financial compliance matters for Advancement.

People & Talent Management

  • Supervise a team of administrative and programmatic staff.
  • Foster a culture of continuous improvement collaboration and accountability across the team.
  • Serve as liaison to Human Resources on hiring onboarding performance evaluations and professional development within the division.

Special Projects & Executive Support

  • Serve as chief liaison and project manager for cross-campus initiatives involving Advancement.
  • Prepare reports presentations and briefings for the VP Cabinet Board of Trustees and campaign leadership.
  • Represent the VP in meetings or on committees as assigned.

Non-EssentialDuties

  • Other duties and special projects may be assigned to meet department and university needs.

Experience Knowledge & Skills Preferred

  • 710 years of progressive experience in higher education advancement non-profit leadership or related fields.
  • Prior experience managing advancement services CRM systems and gift processing operations preferred (or) similar systems that show transferable skills.
  • Strategic thinker with proven ability to lead complex cross-functional projects.
  • Strong leadership and people management skills.
  • Deep understanding of advancement operations including gift processing data management donor relations and proposal development.
  • Highly proficient in donor CRM platforms especially Slate for Advancement and Microsoft Office Suite.
  • Excellent communication writing and interpersonal skills
  • Bachelors degree required; Masters degree preferred or equivalent combination of experience and education.
