Essential Duties:
1. General Office Duties
- Manage Microsoft Outlook calendar for vice president of the assigned group.
- Coordinate and prepare materials for regularly scheduled department head meetings.
- Maintain office files for immediate retrieval and an organized filing system for meetings.
- Receive and log incoming phone calls and messages.
- Prepare schedules and arrangements for leadership of the assigned area.
- Track and administratively support the office budgets for the assigned area.
- Transcribe and prepare minutes and distribute to other attendees for various meetings.
- Maintain supplies for department.
2. Communications
- Receive screen and review correspondence; assign to appropriate persons for reply; draft letters and reports for supervisors review.
- Process check requests for staff in the assigned area.
3. Projects
- Prepare presentations using Microsoft PowerPoint and operate necessary equipment for presentations as needed.
- Manage information on the Young Life website as requested including new content and updates for all departments.
- Create new forms as requested.
- Prepare and send out all requested email communications.
- Track and complete projects from beginning to end with minimal supervision.
4. Events and Hospitality
- Manage assigned events and projects.
- Organize assigned leadership events including scheduling meeting rooms catering travel and transportation as necessary.
Working Conditions:
- This position will spend all of their time in a general or home office space working environment with significant time being spent working on a computer.
- Occasional lifting of file boxes up to 30 lbs.
Education:
- A bachelors degree at least five years of administrative experience or an equivalent combination of education and experience is required.
Experience Required For The Job:
- Must have strong written and verbal communication skills.
- Previous administrative assistant experience.
- Word processing skills (55 to 60 wpm) with Microsoft Office Suite proficiency with a high competence level in Word Excel Outlook and PowerPoint required. Microsoft Project and Access experience preferred.
- Strong organizational skills.
- Ability to maintain confidentiality.
- Must successfully work with minimal supervision.
- Excellent grammar editing and proofreading skills.
- Must have a professional and pleasant phone presence.
- Previous accounting experience a plus.
Job Specific Working Conditions:
NOTE: This job is being posted as Full-time but an option for Part-Time may be considered.
Additional Responsibilities include:
- Coordinate all donor vision trips for the division
- Manage logistics for donor trips
- Serve as a liaison to donor network on behalf of LAC
- Travel and/or host vision trips when necessary
