READVERTISEMENTDuties and Responsibilities
1.*Responsible for providing administrative technical program and fiscal support for the law faculty including their centers and programs in coordination with the Associate Dean for Academic Affairs and Director of Administrative Services.
2.*Prepares and processes faculty paperwork including travel requests completions scheduling and purchasing of tickets and ensures that faculty expenses are tracked and paid out of appropriate accounts.
3.*Maintains and updates program web pages with faculty content such as biographies and scholarship.
4.*Provides direct program administrative services. Interpret Federal UH State and private rules and regulations to procure goods and services for grants and student programs which include but are not limited to Law Review Bar Preparation Moot Court competitions Ulu Lehua Scholars Pacific-Asian Legal Studies and Clinical program.
5. *Provides administrative support to grants received from agencies such as the U.S. Dept. of Justice the Hawaii Justice Foundation and state and city agencies who provide a multitude of services and programs for the local community.
6.*Establishes and maintains management systems for faculty correspondence teaching and related communications.
7.*Prepares processes and maintains faculty spending and related records in accordance with University fiscal policies including travel reimbursement and payments.
8.*Collects data to prepare various reports relating to operations administration academics and program support. Assists faculty to prepare project committee and program reports minutes and proposals.
9.*Provides extended grant management for sponsored projects (i.e. budget creation purchasing procurement and closeout).
10.*Acts as liaison to maintain the faculty and faculty support offices including coordinating building maintenance keys and room reservations with various departments.
11.*Works directly with Principal Investigators & makes recommendations for the administration of select sponsored projects. Contacts sponsors & system support offices such as the Office of Research Services & Research Corporation of the University of Hawaii.
12.*Manages faculty and faculty support offices inventory of supplies and furniture. Prepares and issues purchase orders requisitions invitations to bid requests for quotations and related responsibilities.
13.*Coordinates with faculty who are eligible for promotion tenure or sabbatical with the forms and procedures in compliance with University policies and procedures.
14.*Keeps abreast of changes to the UHPA collective bargaining contract and UH academic policies and procedures to assist faculty who are eligible for promotion tenure or sabbatical.
15.*Assists faculty on fiscal aspects of projects preparation of budgets and project proposals for grants contracts programs and committees. Supports faculty in use of web services such as Laumaku for course materials and communications with students.
16.*Posts information to class websites finalizes exams assists in mass mailings compiles dossiers creates forms archives websites. Assists faculty in distribution and publications of scholarship and research.
17.*Works with Law Schools Information Technology Department in purchasing maintaining and upgrading computers software printers scanners and other equipment.
18.*Builds and establishes strong communications with the Events Office Special Projects Office Fiscal and Personnel Office and students to promote and support faculty and program initiated events.

Minimum Qualifications
of a baccalaureate degree in business administration education social science communication or related field and 1 year(s) of progressively responsible professional experience with responsibilities for program administrative support; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
knowledge of principles practices and techniques in the area of fiscal and personnel administration demonstrated by knowledge understanding and ability to apply concepts terminology.
knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with business administration.
ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of academic administration.
ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
7Demonstrated ability to operate a personal computer and apply word processing software.
to work occasionally outside of normal working hours including evenings weekends and holidays as needed for program priorities.
