Regional Hand Center is growing and seeking a motivated detail-oriented Referral Coordinator to join our dynamic team full-time. In this role youll play a key part in supporting patients and providers by managing referrals pre-authorizations and ensuring timely and appropriate coordination of care.
Key Responsibilities
Patient Support & Communication
- Assist patients with referrals explain processes and respond to questions in a professional and compassionate manner.
- Coordinate appointments with specialists and maintain constant communication with patients on referral status.
- Serve as a resource to patients and staff regarding referral-related inquiries and processes.
- Provide world-class customer service in all patient and staff interactions.
Referral & Authorization Management
- Manage all incoming referrals from providers ensuring completeness accuracy and appropriate routing.
- Initiate and track referrals and authorizations in the electronic health record (EHR) and tracking systems.
- Coordinate with external providers specialists hospitals and insurance carriers to obtain necessary authorizations and documentation.
- Maintain an up-to-date directory of external specialists and referral requirements (CPT codes DX criteria forms etc.).
- Follow up on referral outcomes to ensure appointments were kept and documentation received.
Administrative & Reporting
- Prepare and submit referral activity reports to supervisors to track metrics and performance.
- Participate in process improvement initiatives to streamline referral workflows.
- Provide orientation and in-services on referral processes to new and existing staff.
- Ensure compliance with HIPAA OSHA CLIA The Joint Commission and other regulatory bodies.
Minimum Qualifications
- High School Diploma or GED required; Medical Assistant certification preferred.
- Minimum 1 year of experience in a medical office setting with referral coordination responsibilities.
- BLS (Basic Life Support) certification preferred.
- Strong communication and organizational skills.
- Bilingual (English/Spanish or English/Punjabi) preferred.
- Proficient in computer systems including Practice Management and EHR software.
- Ability to multitask and adapt in a fast-paced healthcare environment
Preferred Qualifications
- 2 years of medical receptionist or referral coordination experience.
- Knowledge of Workers Compensation and insurance verification processes.
- Familiarity with medical terminology CPT and ICD codes.
- Strong customer service background preferably in a healthcare or service industry.
