Youll serve as the central hub for operations seamlessly managing everything from strategic project coordination to daily administrative tasks. Youll work with modern tech stacks attend high-level business meetings and have the authority to make decisions and delegate tasks to external contractors when needed.
Responsibilities
- Serve as the primary administrative integrator managing email calendar and data coordination
- Handle social media content distribution and posting across various platforms
- Create engaging graphics and visual content using Canva and other design tools
- Coordinate personal appointments and communicate with local service providers
- Participate in daily and weekly strategic business meetings to discuss priorities and initiatives
- Monitor real-time communication channels and respond to urgent requests throughout the day
- Take complete ownership of projects from initial concept to final execution
- Manage project management software and update progress on key initiatives
- Configure and maintain tech stack operations including CRM systems marketing automation and workflow tools
- Create comprehensive documentation processes and professional presentations
- Make informed business decisions when needed and serve as a liaison between different teams
- Provide detailed progress reporting and strategic recommendations to leadership
Requirements
- Minimum 5-10 years of executive assistant or high-level administrative experience with C-suite executives
- Strong technical aptitude with proven ability to quickly master new software platforms
- Hands-on experience with CRM systems marketing automation tools and project management software
- Proficiency in design tools like Canva for creating professional graphics and content
- Exceptional written and verbal communication skills for stakeholder interaction
- Demonstrated ability to work independently and make sound decisions with minimal oversight
- Experience creating detailed process documentation and standard operating procedures
- Outstanding organizational and time management skills with ability to prioritize multiple projects
- Professional experience handling both business operations and personal assistance tasks
- Proactive mindset with strong problem-solving abilities and attention to detail
- Previous experience attending business meetings and contributing to operational discussions
