Responsibilities
- Project Purchasing
- Act as the exclusive purchasing manager for all projects under his/her responsibility in collaboration with the department manager
- Analyze recurring purchasing requirements for current projects.
- Place purchase orders for projects under his/her responsibility.
- Request information from suppliers with whom the Division has an agreement at all times.
- Modify purchase orders when they do not match invoicing or contact the supplier to rectify the situation.
- Redirect project teams when a purchase requisition is subject to a subcontract (be a barrier to entry).
Receiving invoicing and paying suppliers:
- Ensure the rotation of order-receiving activities for projects under its responsibility and the rapid follow-up of supplier invoices with the procurement technicians.
- Follow-up on the delivery of orders to the worksite (when items are out of stock for example).
- Follow up accounting receipts of orders with accounting technicians.
- Ensure that suppliers critical to the continuity of site operations are paid promptly (follow-up with accounting shorter payment deadlines).
- Collaborate in monitoring general terms and conditions:
- Accompany the project teams under his/her responsibility to draw up recommendations to prevent or control cost overruns.
- When an orders budget envelope is increased verify the phase/sub-phase and advise those responsible for cost control.
- Extract a monthly report of commitments to the general conditions of the projects under his/her responsibility and carry out the analysis of balances committed unnecessarily (cancel obsolete residual balances and follow up with the accounting technicians for balances to be closed but already partially received).
- Provide feedback to the Estimating department in order to better plan general conditions budgets in the future.
Site equipment management:
- Support the Site Operations Manager and Project Management in the sound management and monitoring of their internal and external site resources through periodic reports and follow-ups.
- Coordinate and track equipment rented internally (computers vehicles containers trailers etc.).
- Maintain an up-to-date list of equipment owned by the Division (offices trailers tools etc.) in collaboration with the Site Operations Manager.
Requirements
- 2 to 4 years experience.
- College diploma (DEC) in administration accounting techniques or equivalent diploma will be recognized. Any other experience in the field will be considered.
- Knowledge of databases and computerized supply management systems an asset.
- Intermediate knowledge of Office Suite.
- Experience in construction contract administration.
- Must be able to work onsite five days a week.
