Job Description

Job Title: Operations & Admin Coordinator
Location:
Remote (PST Time Zone)
Salary Range:
up to 2200 USD depending on work experience

Work Schedule:
Monday - Friday 7:00 AM to 3:00 PM (PST)

About the Company:

Sagan represents a growing US-based operations team focused on logistics internal systems and reporting. The company values process clarity efficient workflows and the ability to proactively improve internal tools and documentation. This is a fully internal role with no client-facing responsibilities.

Position Overview:

Were looking for a highly organized and self-sufficient Operations & Admin Coordinator to support internal systems reporting and process improvement. This role will be instrumental in removing operational friction improving report quality and driving simple but critical backend projects. If youre detail-oriented proactive and love making systems run more smoothly wed love to hear from you.

Key Responsibilities:

Administrative Support:

  • Format service reports and issue certificates of insurance.
  • Book hotels and rental vans for field operations.
  • Create and assign tasks in the workflow management system.
  • Purchase job-related supplies via platforms like Amazon.


Quality Assurance & Reporting:

  • Provide a second set of eyes on reports to ensure accuracy formatting by city and completeness before client submission.
  • Review monitoring sites to ensure active reporting.
  • Internal Systems & Documentation
  • Organize and maintain password and subscription documentation.
  • Track equipment status and create regular status reports.
  • Assist with insurance renewals and coordination.


Process Improvement:

  • Lead small ops projects (e.g. improving inventory tracking introducing new internal tools documenting processes).
  • Other administrative support as needed.


Qualifications:

  • Strong written and verbal English communication.
  • 2 years of administrative or operations support experience.
  • Proficient in Microsoft Office (Word Excel Outlook).
  • Highly organized and self-sufficient with strong attention to detail.
  • Experience working closely with US-based teams.
  • Reliable internet and up-to-date computer setup.
  • Able to problem solve and ask for help proactively.


Nice-to-Haves:

  • Prior experience in QA or document review.
  • Familiarity with workflow or project management tools.
  • Background supporting logistics or remote field teams.
