Administrative Assistant - Competition 2025-061

Missing and Murdered First Nations Peoples Unit

Full-Time Term

Closing Date: Jun 5 2025


Position Summary


Under the direction and supervision of the Director of Missing and Murdered First Nation Peoples (MMFNP) Unit the incumbent is responsible for a wide range of comprehensive administrative support duties by providing the following key activities:

Key Responsibilities


  • Respond to external and internal inquiries in an expedient professional and tactful manner.
  • Record transcribe and distribute minutes in a timely manner as required.
  • Responsible for all travel and accommodations for meetings and gatherings as required.
  • Complete cheque/travel requisitions within one week of scheduled travel as required.
  • Draft and/or prepare memos correspondence and reports as required.
  • Order office supplies as directed by each department and code accordingly.
  • Assisting in the logistical planning and general organizing of conferences assemblies and meetings including preparing information packages when required.
  • Ensure all invoices are reconciled with purchase orders.
  • Responsible for ensuring all required meeting items (i.e. documents finances) are prepared and available at the meeting site.
  • Maintaining a filing system both electronic and hard copy.
  • Must respond internal communications while travelling.
  • Be available to provide administrative team support for all areas within AMC when required.
  • Other related duties and assists Director as assigned.


Qualifications

  • Graduation from an Administrative Assistant Certificate or diploma program from a recognized college or technical institute. A combination of education and experience may be considered.
  • Two years directly related experience in an Administrative Assistant role and/or office setting.
  • Must be able to work well under pressure and meet deadlines.
  • Excellent administrative written communication editing organizational skills and research abilities.
  • Ability to work independently and/or in a team environment.
  • Excellent interpersonal skills and demonstrated empathy.
  • Accurate typing speed of 60 words per minute.
  • Knowledge of general office procedures practices maintains confidentiality and office equipment operations.
  • Demonstrated computer knowledge capabilities in Microsoft Office (Word Excel PowerPoint and Outlook).
  • Knowledge of First Nation culture history and issues.
  • Must be able to work flexible hours and travel upon request.
  • Must provide a current satisfactory Criminal Record Check and Clear Child Abuse Registry Check.
