Job Description

SUPERVISION RECEIVED: Executive Director of Conference and Event Management

SUPERVISION EXERCISED: Student Workers Including: Haupert Union Event Technician Student Staff and Haupert Union Summer Conference Assistants

POSITION SUMMARY: The Assistant Director of Conference and Event Management assists coordinates and executes events focusing on student lead campus initiatives to support a strategic comprehensive event management program. This position will be trained on the technology aspects on campus (microphones screens touchpanels etc) and may be asked to support events with technology. This position supports approvals of campus reservations as well as assistance with the management of the Haupert Union Building.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Support and assist in the implementation of a comprehensive external event management process.
  • Act as an administrator for online event management software (including Social Tables and 25Live) and work with campus partners to determine event reservations and setup needs for basic and complex events including but not limited to workshops seminars board meetings conferences performances programs and exhibitions.
  • Partner with Facilities Media Services Campus Police and Catering to coordinate event logistics.
  • Provide assistance with tracking and reporting of event management performance metrics to monitor progress towards strategic initiatives while measuring the effectiveness of programs and services.
  • Partner with event staff on maintaining the daily operation of the Haupert Union Building including facility usage aesthetics policies procedures and practices.
  • Support and troubleshoot any technology
  • Provide organizational assistance for large University events. This includes large campus events such as Commencement New Student Orientation and Heritage Day.
  • Select train supervise and evaluate the Haupert Union Building student staff event technicians and summer conference assistants.
  • The nature of this position requires weekend and evening hours.
  • Complete other duties as assigned.

QUALIFICATIONS:

  • Bachelors degree required ideally in an appropriate field and 1-3 years of professional experience in event management and/or student union operations preferred.
  • Skills or experience in conference services student staff supervision leadership development community development conflict resolution and a commitment to student learning and the student life profession with the desire to maintain an active involvement with students and parents as well as faculty campus administrators and external partners is preferred.
  • Willingness to take on additional responsibilities based on previous experiences or institutional needs is expected.
