Job Description

Job Title: Campus Secretary

Wage/Hour Status: Nonexempt

Department: Assigned Campus

Reports To: Campus Principal

Approved By: Board of Trustees

SUMMARY:

Ensure efficient operation of school administrative office and provide clerical services for schools administrative staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Records Reports and Correspondence

  1. Prepare written correspondence forms schedules or reports using typewriter or personal
  2. Prepare instructional materials meeting agendas honor rolls graduation lists and campus communication as requested using typewriter or personal
  3. Maintain a daily teacher attendance log and records for substitute
  4. Monitor and process personnel time records including leave requests and Compile information and submit to central office.
  5. Maintain a log of visitors to
  6. Maintain school calendar of
  7. Schedule meetings and appointments and maintain calendar for

Reception and Phones

  1. Assist students teachers and parents as
  2. Receive incoming calls take reliable messages and route to appropriate

Files

  1. Maintain physical and computerized files including inventory of school and office supplies mailing lists student records visitor logs and office
  2. Update handbooks policy manuals and other documents as

Accounting and Inventory

  1. Receive store and issue supplies and
  2. Perform routine bookkeeping tasks including simple arithmetic operations to maintain campus budget
  3. Prepare and make cash deposits for activity account(s). May be responsible for maintenance of activity checkbook(s) and ledger(s).

Other

  1. Sort distribute or deliver mail and other
  2. Maintain
  3. Participate in staff development training programs to improve job
  4. Participate in meetings and special events as
  5. Exercise professional judgment in absences; be punctual to work meetings and
  6. Perform other duties as assigned by the immediate

SUPERVISORY RESPONSIBILITIES:

Monitor the work of clerical aides

EDUCATION AND/OR EXPERIENCE:

High school diploma or GED

One to three years of secretarial experience preferably in a public education environment

CERTIFICATES LICENSES AND REGISTRATIONS:

As required by the Texas Education Agency

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before parents staff and students.

MATHEMATICAL SKILLS:

Ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to compute rate ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY:

Ability to apply common sense understanding to carry out instructions furnished in written oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES:

Proficient typing word processing and file maintenance skills. Effective organizational communication and interpersonal skills. Demonstrated ability to operate a personal computer and related software to develop spreadsheets databases and do word processing. Knowledge of basic accounting principles. Ability to operate standard office equipment such as copier calculator fax machine and printer. Ability to develop effective working relationships with students staff and the school community. Ability to communicate clearly and concisely both orally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.

PHYSICAL DEMANDS:

Occasional absences are understood but regular attendance is required.

While performing the duties of this job the employee is almost continuously required to sit and talk or hear. The employee is occasionally required to walk and stand. The employee is occasionally required to reach with hands and continuously will repeat the same hand arm or finger motion many times as in typing. Light to moderate lifting and carrying is required. Specific vision abilities required by this job include close vision depth perception and the ability to adjust focus.

Employee must maintain emotional control under stress.

WORK ENVIRONMENT:

The noise level in the work environment is acceptable to this particular environment. However the noise level can vary depending upon daily activity but will still remain within the acceptable noise level range. The employee is continuously interacting with the public staff and students. The employee will work with frequent interruptions. The employee frequently will be required to meet multiple demands from several people at the same time.
