Job Summary:


The HR Coordinator provides vital administrative support to the Human Resources team playing a central role in ensuring smooth HR operations. This position is responsible for leading the onboarding and offboarding processes maintaining employee credentialing files and supporting HR-related meetings and projects. The ideal candidate is detail-oriented organized and passionate about supporting a positive employee experience.


Essential Job Duties:

  • Administrative Support
    • Assist the HR team with day-to-day administrative tasks including filing scheduling data entry and correspondence
    • Support the recruiting and hiring process with scheduling of interviews screening assessments and job postings
    • Maintain accurate and up-to-date employee records in the HRIS and physical files
    • Prepare and process HR-related documentation as needed including employment verifications
    • Maintain the intranet and communication Hub for employee information
    • Maintain the website career and staff pages.


  • Onboardingand Offboarding
    • Coordinate and lead onboarding for new hires including orientation scheduling document collection system access and benefits enrollment support
    • Ensure all onboarding materials and checklists are up to date and compliant with internal policies
    • Manage offboarding processes including exit paperwork final checklists and collection of company property


  • Credentialing and Compliance
    • Collect verify and maintain up-to-date credentialing documents for employees and contractors
    • Track expiration dates and proactively follow up with staff for renewals (licenses certifications background checks etc.)
    • Ensure compliance with internal standards and applicable regulations including OIG/SAMS and Continuous NPDBmonitoring


  • Meeting and Project Support
    • Provide logistical and administrative support for HR-related meetings including scheduling preparing agendas taking meeting notes and distributing materials
    • Assist in planning HR events trainings and initiatives
    • Support special projects as assigned by the HR team

Requirements

Knowledge Skills & Abilities:

  • Knowledge and Skills:
    • Understanding of basic HR functions employment laws and HR compliance standards
    • Familiarity with employee lifecycle processes including onboarding and offboarding
    • Experience with HRIS systems and data management preferred
    • Strong organizational skills with proven ability to manage multiple priorities deadlines and documentation workflows.
    • Proficiency with Microsoft Office Suite (Word Excel Outlook PowerPoint) and ability to learn internal credentialing or onboarding systems.
  • Abilities:
    • Ability to work both independently and collaboratively across departments such as HR IT Medical Staff and Operations.
    • Excellent written and verbal communication skills; able to communicate clearly and professionally with internal staff and external partners.
    • Ability to handle confidential and sensitive information with discretion.
    • Demonstrated attention to detail and commitment to accuracy especially with credentialing documentation and onboarding checklists.
    • Comfortable engaging with new hires and students to create a welcoming informative and supportive experience.
    • Ability to adapt in a fast-paced evolving healthcare environment and proactively resolve administrative obstacles.

Environmental &Physical Requirements:

  • Typical office environment; prolonged periods sitting at a desk and working on a computer.
  • May require occasional lifting of materials up to 20 pounds.
  • Work is primarily onsite with potential hybrid flexibility depending on departmental needs.
  • Mobility: must be able to move independently and safely throughout the workplace including offices conference rooms and common areas.
  • Manual dexterity: should have sufficient hand-eye coordination and fine motor skills to perform tasks such as writing typing operating computer systems and handling paperwork.
  • Visual and auditory abilities: must have adequate vision and hearing abilities to effectively communicate with clients read written materials and interpret non-verbal cues during counseling sessions.
  • Speech and communication: should possess clear and effective verbal communication skills to facilitate open dialogue with clients colleagues and other healthcare professionals.
  • Sitting or standing:should be able to sustain a seated or standing position for extended periods while meeting with patients/clients/external visitorsattending meetings or performing administrative tasks.
  • Emotional resilience: must have the emotional stability and resilience to work with clients/patients/coworkers facing challenging circumstances maintaining composure and professionalism during difficult discussions.
  • Sensory sensitivity: should be sensitive to the needs of clients/patients/coworkers and exhibit appropriate responses to their physical and emotional cues ensuring a supportive and non-judgmental environment.
