Job Description
Sample Shipping & Order Support Coordinator
Location: In-Office Western Suburbs of Chicago ILA growing flavor and ingredients manufacturer is seeking a highly organized and detail-oriented Sample Shipping & Order Support Coordinator to join our team. This role is critical in ensuring the timely and accurate preparation and delivery of product samples to customers across a variety of markets. The ideal candidate will have experience in shipping logistics order management and cross-functional coordination in a fast-paced environment.
Position Summary:
This role is responsible for coordinating the timely shipment of product samples ensuring accurate documentation and maintaining strong communication with internal teams and external customers. Additional responsibilities include supporting customer order processing and service inquiries.Key Responsibilities:
- Forecast and plan daily sample shipments by reviewing systems and analyzing customer order flow.
- Process and prepare sample requests accurately ensuring proper labeling and packaging.
- Handle dangerous goods (DG) shipments according to regulatory guidelines for air and ground transport.
- Generate shipping labels packing slips and technical documentation and distribute tracking information to sales and customer contacts.
- Coordinate domestic and international shipments with FedEx and other carriers to ensure timely delivery.
- Collaborate closely with Sales R&D and Customer Service teams to confirm requests and relay customer feedback.
- Maintain organized inventory of sample materials and related supplies.
- Accurately enter and maintain customer orders in internal systems including EDI platforms.
- Upload and manage sample documentation across systems (e.g. Salesforce ERP SharePoint).
- Verify accuracy of shipped orders daily using ERP software.
- Prioritize urgent shipments using tools such as FedEx Surround Select.
- Identify and implement process improvements to enhance overall sample fulfillment efficiency.
- Support internal reporting of on-time in-full (OTIF) order performance.
- Escalate order or shipment issues to management or relevant teams as needed.
- Perform various administrative duties and cross-functional projects as assigned.
- Report any food safety concerns to designated personnel with authority to act.
Qualifications:
- Bachelors degree in Business Administration or equivalent experience preferred.
- 13 years of experience in shipping coordination customer service or sample management in a manufacturing or distribution environment.
- Familiarity with FedEx/UPS shipping platforms and ERP systems (e.g. Sage); Salesforce experience a plus.
- Strong planning multitasking and organizational abilities.
- Excellent verbal and written communication skills.
- High attention to detail and ability to work independently and collaboratively.
- Dangerous Goods (DG) certification is a plus.
Physical Requirements:
- Ability to lift a minimum of 10 lbs and up to 50 lbs regularly.
- Frequent standing walking and movement throughout the facility.
- Must be able to work around food allergens (e.g. peanuts dairy tree nuts).
Work Environment:
- Regular interaction with R&D and Sample Lab teams.
- Exposure to lab and production environments with potential contact with fumes allergens temperature changes and flammable substances.
Personal Protective Equipment (PPE):
- Steel-toe non-slip shoes required in designated areas.
- Hairnets gloves safety glasses and ear protection required in production and warehouse spaces.
- Lab coats or uniforms must be worn per department guidelines.
