Job Description

Procurement Support Specialist

Location: Dayton OH Position

Type: Full-Time

GC2IT seeks a capable and detail-oriented Procurement Support Specialist to provide critical procurement and administrative assistance for the Air Force Research Laboratory (AFRL) Sensors Directorate (RY). This role supports operations across branches and divisions by coordinating acquisitions managing documentation and ensuring compliance with Department of Defense (DoD) and Air Force (AF) procurement regulations. The ideal candidate will be a proactive professional with experience in federal purchasing platforms and the ability to manage competing priorities in a dynamic mission-driven environment.

Responsibilities

  • Assist AFRL/RY end-users with procurement needs and ensure alignment with Directorate AF and DoD acquisition policies.
  • Execute purchases using authorized platforms such as AFWay NETCENTS Enterprise Software Initiative/SmartBuy and GSA.
  • Maintain active accounts in major acquisition platforms to facilitate timely procurements.
  • Validate purchase requests for technical accuracy compliance and best value.
  • Coordinate with Directorate business managers and government purchase card holders to secure funding.
  • Collaborate with contracting officers to select compliant vendors and confirm alignment with user requirements.
  • Conduct Requests for Quotes (RFQs) communicate effectively with vendors and submit procurement packages per regulations.
  • Obtain necessary waivers and special permissions to support purchases.
  • Engage with government managers for procurement approvals.
  • Monitor evolving regulations and provide procurement updates to operational and financial staff.
  • Track status of active purchases and maintain regular communication with leadership.
  • Retrieve and manage DARPA Orders and committed Purchase Requests via the Automated Business Services System (ABSS).
  • Maintain databases and spreadsheets tracking contract lifecycle status (active staging close-out).
  • Input contract data into TFIMS; manage WAWF Receiving Reports; support contract close-out activities.
  • Receive log and process FOIA requests; compile reproduce and route documents appropriately.
  • Support audit preparation and execution for AF and DoD compliance.
  • Serve as Records Custodian; manage electronic and paper documentation using SharePoint LiveLink and other enterprise systems.
  • File label and organize all correspondence and contract files in accordance with retention standards.
  • Provide administrative support including typing copying faxing and routing calls and visitors.
  • Track training requirements and support Staff Assistance Visit preparation.
  • Perform other administrative tasks assigned including coordination of contractor-to-contractor NDAs.

Minimum Qualifications

  • U.S. Citizen with eligibility to obtain a Secret security clearance.
  • Bachelors degree with 3 years of relevant experience or
  • Associates degree with 7 years of relevant experience or 9 years of relevant experience in lieu of a degree
  • Working knowledge of DoD and AF procurement platforms (e.g. ABSS WAWF TFIMS)
  • Demonstrated experience supporting federal procurements government purchase card transactions and audit preparation.
  • Strong written and verbal communication skills
  • Detail-oriented with strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Visio) and enterprise tools (LiveLink SharePoint)

Preferred Qualifications

  • Familiarity with AFRL mission and procurement procedures
  • Experience managing or assisting FOIA requests and records management.
  • Experience with EBS PBAS or other enterprise budgeting/acquisition systems
  • Prior experience supporting contract close-out processes.
