Job Summary:
The Automotive Parts Administrative Assistant will play a key role in maintaining inventory records communicating with vendors and suppliers and supporting the team with administrative tasks. This position requires strong organizational skills attention to detail and inventory management knowledge or willingness to learn.
Key Responsibilities:
Reconcile daily stock orders using the dealer inventory management system (CDK).
Ensures all parts are received and accounted for based on delivery packing slips.
Maintain accurate inventory records and perform regular inventory checks.
Prepare and process purchase orders and invoices.
Communicate with suppliers and vendors regarding orders returns and pricing.
Support parts department staff with administrative tasks and customer service.
Maintain organized records and files (physical and digital).
Ensure compliance with department policies and procedures.
Additional Duties and Responsibilities:
Maintains positive working relationships with team members by communicating respectfully and professionally.
Proactively offers support and assistance to colleagues when needed.
Adapts effectively to changes within the Parts Department.
Manages multiple responsibilities efficiently.
Actively engages in departmental meetings and discussions.
Upholds strong ethical standards and integrity in all daily responsibilities.
Responsible for other duties as assigned by management and/or required by business needs.
Qualifications:
Previous experience in an administrative role; automotive industry experience is a plus.
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Google Suites and Microsoft Office programs (Word Excel Outlook).
Knowledge of automotive parts and terminology preferred but not required.
High school diploma or equivalent.
Physical Requirements:
Standing for long periods of time.
Bending stretching lifting reaching and climbing.
Driving a vehicle and golf cart.
Ability to climb ladders for purposes of checking inventory.
