Job Summary:
The Assistant Research Administrator provides vital support to the Department of Surgerys research efforts by assisting with the management and coordination of research projects. This role ensures that all administrative and operational aspects of research projects are executed efficiently supporting faculty staff and collaborators in the achievement of research goals.
Key Responsibilities:
ResearchAdministration Assistance: Provides support to the Faculty DivisionAdministrator or Research Administration team as assigned in areas such as:preparing and maintaining documentation budgets timelines and as assigned with proposal preparation and monitoring budgets andexpenditures in conjunction with sponsor VCU and SOM Office of ResearchAdministration policies and procedures. Assist with department levelresearch reporting and analysis.
Regulatory Compliance: Support adherence to ethical regulatory and institutional requirements by ensuring timely submission of necessary documents such as IRB protocols progress reports and financial disclosures.
Data Management: Help manage and track research data ensuring proper documentation and organization of research findings. Support data collection efforts in the field and clinical settings as necessary.
Coordination and Communication: Serve as a liaison between researchers administrative staff and external partners. Coordinate meetings communication and workflows between stakeholders.
Scheduling and Event Planning: Assist in scheduling research-related meetings conferences and events. Help with the coordination of research-related travel and logistics.
Training and Onboarding: Provide support in the onboarding process for new research staff and assist in organizing training sessions on research-related policies and best practices.
Other Administrative Duties: Perform general administrative tasks as assigned such as preparing reports maintaining databases and ensuring that all records are up to date and in accordance with research guidelines.
Qualifications:
Education: Bachelors degree in a related field (e.g. healthcare administration business etc.) or equivalent work experience.
Experience: Minimum of 1-2 years of administrative experience in a research or healthcare setting preferably within a university or medical environment.
Skills:
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Ability to manage multiple tasks simultaneously with attention to detail.
Proficiency in Microsoft Office Suite (Excel Word PowerPoint).
Knowledge of research compliance regulations (IRB HIPAA etc.) is a plus.
Familiarity with research grant submission and management processes is desirable.
Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU.
