Job Description

This is a remote position.

Work Schedule: Monday to Friday 8:00am to 5:00pm Sydney Time with 1 hour unpaid break.



Responsibilities :
  • Manage client communications and maintain professional relationships with key accounts
  • Process and track job documentation including safety records inspection certificates and compliance paperwork
  • Handle end-to-end job administration from setup to invoicing
  • Monitor and validate staff timesheets and job records
  • Prepare and send professional invoices with appropriate documentation
  • Maintain accurate digital records for all jobs including photos SWMs JSAs and inspection certificates
  • Track job profitability and maintain financial records
  • Coordinate with field staff to ensure all required documentation is completed
  • Monitor and maintain KPIs for client reporting and response times
  • Assist in systematizing processes for ISO certification preparation

Scopes:

  • Handle 15-20 active jobs at any time
  • Manage documentation for both regular maintenance contracts and project-based work
  • Process daily job records including timesheets photos and compliance documents
  • Coordinate with team of 4 field staff plus subcontractors
  • Maintain relationships with key commercial clients including strata managers
  • Support preparation for ISO certification
  • Handle job values ranging from small maintenance work to month-long projects

Requirements

  • Strong administrative and organizational skills
  • Excellent attention to detail and ability to maintain accurate records
  • Professional communication skills both written and verbal
  • Experience with job management software (Ascora experience beneficial)
  • Ability to manage multiple priorities and meet tight deadlines
  • Understanding of construction or trade industry documentation
  • Proficiency with Microsoft Office suite
  • Experience in managing client relationships
  • Basic understanding of job costing and financial tracking
  • Ability to work independently and take initiative
