About the Agency
The Virginia Department of Fire Programs enhances public safety in the Commonwealth by providing supplemental funding training fire prevention and life safety education along with statewide fire code enforcement. This position will maintain and ensure all equipment in a safe and operational manner by completing equipment checks weekly checks and monthly checks on all equipment.
About the Position
The duties of this position include but are not limited to:
Provide administrative support to the Logistics Division while ensuring effective response in meeting administrative and division needs including preparing correspondence reports spreadsheets and various documents.
Possess knowledge and an understanding of state Small Purchase Charge Card (SPCC) policies/procedures.
Work with the agency Procurement Team to manage all aspects of Logistics procurement including purchasing quotes and RFB processes.
Manage inventory and place orders as needed to maintain supply levels for the division; enter and receive items in eVA procurement system; apply logistics requisition tracker to appropriate orders and work with the VDFP Procurement team to ensure adherence to state/agency procurement policies.
Participate in procurement-related continuing education training to better understand state procurement processes; process invoices and billing transactions and perform expenditure reconciliation.
Deliver excellent customer service in greeting visitors; promptly answering telephone and email inquiries and in supporting staff.
Minimum Qualifications
Experience demonstrating skills and knowledge of administrative and office procedures.
Knowledge of the proper use of grammar spelling and punctuation in preparing
correspondence spreadsheets and various documents.
Knowledge of state procurement or similar policies.
Excellent interpersonal verbal and written communication skills effective in supporting the Logistics Team; answering telephone and email inquiries including the ability to communicate effectively with all levels of the agencys organizational structure.
Considerable skill in the use of computers Microsoft Office and various software.
Skills in the maintenance of filing systems and records retention.
Demonstrated organizational skills the ability to analyze and provide feedback ability to meet deadlines and manage conflicting priorities in a fast-paced environment.
Demonstrated ability to work independently with minimal supervision as well as with a team with flexibility to provide aid to staff as assigned.
Experience demonstrating the ability to deliver excellent customer service to internal and external stakeholders.
Additional Considerations
Demonstrated administrative office experience is required. Microsoft Office Suite proficiency is required.
Considerable knowledge of eVA SWAM SPCC procurement/purchasing procedures and policies desired.
