PAY RANGE: $26.25$32.15/hour

Commute Seattle is a 501(c)(3) nonprofit Transportation Management Association (TMA) founded in 2004 with a mission to make it easy for everyone across Puget Sound to walk bike ride or roll to Seattles opportunities.

We are supported by local governments and public agencies and are part of the Downtown Seattle Association and the Metropolitan Improvement District. We partner with employers destinations and institutions to implement sustainable transportation options and trip reduction strategies that improve commute behavior enhance quality of life and support economic and environmental goals.

POSITION DESCRIPTION

This position is part of a nationally recognized Transportation Demand Management (TDM) program in one of the most transit-rich cities in the U.S. The Transportation Specialist plays a key role in making sure our systems and deliverables run smoothly ensuring employers comply with local and state mandates while advancing a more sustainable transportation network.

The Transportation Specialist works collaboratively with team members and agency partners to track site participation execute program communications maintain clean data systems and ensure compliance documentation is submitted accurately and on time. The Program Operations Specialist complements customer-facing staff by supporting consultation workflows developing educational resources and coordinating outreach during peak program periods.

KEY RESPONSIBILITIES

Program Operations Reporting & Systems Management (40%)

• Maintain internal systems such as CRM databases and ensure accurate and timely tracking of site contacts program milestones and deliverables.
• Lead administrative execution of program requirements including contact list preparation survey reminders mail merges and data uploads to systems like ELF.
• Track program submission deadlines and manage records for over 500 employers and buildings to ensure accurate and complete compliance documentation.
• Develop update and maintain internal training materials consultation guides and customer resources in collaboration with team and agency partners.
• Coordinate structured outreach to missing ETCs/BTCs and ensure timely onboarding of new contacts in partnership with the Seattle Department of Transportation (SDOT).
• Ensure accuracy and data integrity across all touchpoints.

Client Support & Program Execution (35%)

• Track and support employer compliance efforts across hundreds of Seattle worksites by ensuring timely documentation and effective follow-up.
• Provide operational support for consultations conducted by customer-facing teammates including preparing program materials reviewing reports and assisting with survey implementation logistics.
• Offer limited direct consultation with business and property managers particularly for onboarding follow-ups and troubleshooting during the program reporting process.
• Serve as the backend lead for program report cycles supporting the production and tracking of compliance submissions across hundreds of employers and properties.

Outreach Campaigns & Communication Coordination (15%)

• Lead the creation and scheduling of structured outbound communication campaigns including survey launch notifications deadline reminders and educational updates.
• Manage audience segmentation and execution of email campaigns using mail merge tools and client data.
• Support the planning promotion and evaluation of educational events and campaigns in collaboration with customer-facing staff.

Team Culture & Professional Development (10%)

• Actively participate in weekly team meetings cross-functional collaboration sessions and organizational events.
• Attend relevant trainings conferences and professional development opportunities.
• Contribute to a collaborative and inclusive team culture sharing feedback and ideas for continuous improvement.
• Other duties as assigned.

MINIMUM QUALIFICATIONS

• Minimum of 1 year of related experience in program coordination database management client services or transportation demand management.
• Strong organizational skills and attention to detail with the ability to manage multiple deadlines and maintain accurate records.
• Proficient with Microsoft Office Suite Zoom and CRM or client tracking systems.
• Excellent written and verbal communication skills; able to create clear materials and instructions for internal and external audiences.
• Strong commitment to teamwork and collaborative problem-solving.

DESIRABLE QUALIFICATIONS

• Familiarity with transportation demand management sustainability or local government programs.
• Experience with email campaign tools (e.g. mail merge CRM-based outreach) and basic data tracking/reporting.
• Experience developing internal guides support documentation or training resources.
• Proficiency with Power BI Adobe Creative Suite or GIS/mapping tools is a plus.
• Experience working with multicultural communities or diverse stakeholder groups.

COMPENSATION AND BENEFITS

We are committed to pay equity and transparency. The hourly rate for this position is $26.25$32.15 based on internal alignment market data and the applicants experience knowledge and skills. We tend to hire on the low to mid-range of the compensation range due to internal and market data salary ranges and the candidates job-related qualifications.
