Enrollment Management Coordinator

General Description

The Enrollment Management Coordinator serves as a key operational and service leader in the Enrollment Management office providing cross-functional support in admissions registration records financial aid scholarships and billing. This role acts as a primary liaison for both prospective and current students via phone email in-person and within Salesforce (the Universitys CRM system). The Coordinator manages the daily flow of student engagement leads process improvement efforts and ensures accurate handling of all enrollment-related activities.

This position requires a comprehensive understanding of Cleary Universitys academic and financial programs along with the ability to interpret complex federal state and institutional policies. A high level of organizational skill and attention to detail is essential in this fast-paced environment.

The Coordinator also plays a leadership role in overseeing the Student Ambassadors and managing the coordination and onboarding of student workers within the Enrollment Management department. Additionally this position holds expanded responsibilities for international student onboardingserving as the point of contact from admission through course registrationand is accountable for CRM lead inquiry submission accuracy and reporting analytics for the Director of Enrollment Management.

Primary Responsibilities

  • Provide daily operational oversight and workflow management within the Enrollment Management office including front desk operations and coverage.
  • Coordinate the hiring onboarding scheduling and supervision of student workers and Student Ambassadors. Oversee front desk training tour assignments and coverage for events and mailings.
  • Serve as the primary point of contact for international student onboarding from admission through registration ensuring compliance with institutional and immigration-related policies.
  • Manage inquiry lead submissions into Salesforce CRM ensuring data integrity and timely entry. Assist with list imports and follow-up tracking protocols.
  • Produce and maintain regular reports for the Director of Enrollment Management related to student inquiries lead flow enrollment progress and outreach effectiveness.
  • Collaborate with CRM Analyst and internal stakeholders to improve processes and maintain data compliance across enrollment systems.
  • Build and audit admissions-related events such as campus visits open houses and outreach campaigns.
  • Coordinate enrollment communications including system-generated emails letters and other digital correspondence for prospective and admitted students.
  • Maintain and improve enrollment management documentation training materials and standard operating procedures.
  • Act as the central point for resolving complex enrollment concerns by liaising with the Financial Aid Registrar and Business Offices.
  • Assist prospective and current students with baseline Financial Aid questions and help facilitate documentation submission and follow-up communication.
  • Maintain scholarship information on the University website and assist in advertising and promoting funding opportunities.
  • Serve as project lead for campus tours and enrollment-related visits managing calendaring and coordination through event systems.
  • Support enrollment marketing initiatives including inventory and development of admissions and financial aid collateral.
  • Serve as a liaison between students and admissions counselors supporting travel coordination communications and student follow-ups.
  • Participate in campus recruitment and yield events occasionally requiring evening and weekend availability.
  • Lead or support special projects as assigned by the Director of Enrollment Management.

Qualifications

Minimum Qualifications

  • Associates degree required (Business Communications Higher Education or related field preferred)
  • 13 years of experience in higher education admissions or enrollment services preferred
  • Working knowledge of Federal and State financial aid programs preferred
  • Experience with CRM systems (e.g. Salesforce) student information systems or similar technology platforms
  • Exceptional attention to detail and ability to process a high volume of information accurately and efficiently
  • Strong interpersonal and communication skills; able to work effectively with diverse populations
  • Demonstrated ability to work independently and as part of a team in a fast-paced environment
  • Proven organizational time management and problem-solving abilities
