Description

About the Role

The Shop Convenor plays an integral role in the successful achievement of the P&F Auxiliary objectives. The Convenor will work closely and in consultation with the Business Manager to ensure the business is managed effectively.

Accountability

The role of the Shop Convenor is to efficiently manage the Shop in accordance with School Standards Auxiliary Policies and Procedures and relevant laws.

In general the accountabilities include:

  • Day-to-day operations and professional presentation of the shop;
  • Maintaining policies and procedures of the operations and service aspects of the Shop;
  • Overseeing the financial procedures of the Shop e.g. sales transactions refunds exchanges Online Orders;
  • Maintain appropriate stock levels and storeroom management;
  • Stocktakes mid-year (not audited) and end of year (audited);
  • Development of the Assistant Convenor Casual Assistants and volunteers in service and technical skills;
  • Maintain and manage shop volunteers in consultation with the Volunteer Manager;
  • Managing the Auxiliarys uniform/memorabilia stall for the Schools Open Day if required;
  • Providing additional support to Business Manager where required;
  • Providing additional support to the P&F Auxiliary where required.
  • Management of Grammar Shop communication:
    • My Grammar advise Business Manager of updates weekly
    • School newsletter recommend amendments updates deletions to Business Manager
    • TV monitor at times when used.
  • Maintain Shop efficiencies:
    • reduce stock losses/wastage
    • improve margins
    • maintain high level of stock control
    • maintain high level of customer service
    • maintain procedures for all shop processes; track and record incoming and outgoing stock for embroidery repair
  • Financial Responsibilities:
    • Ensure Asst. Convenor/Casual staff count incoming stock using P.O and Tax Invoice
    • Receive the stock into IPOS and ensure Tax Invoice is reconciled at the time; pass approved Tax Invoice to Business Mgr. for payment
    • Complete Purchase Orders as needed in conjunction with delivery time frames and expectations of stock to be on hand
  • Weekly reporting/meeting with the Business Manager
  • Prepare annual Booklists and Updates:
    • Liaise the School HODs for any changes
    • Liaise with supplier for deadline dates costs deliveries
    • Liaise with supplier representative for upload to website
  • Coordinate and communicate new school year plans:
    • Year 9 blazer and white shirt purchase
    • Year 8 Senior Hat Fitting
    • New student fittings - liaise with ICT representative for online booking system
    • Year 8 summer senior uniform purchase
  • Prepare and conduct employee performance appraisals in conjunction with Business Manager and BGS
  • Interview for new Grammar Shop staff in conjunction with Business Manager and BGS Human Resources
  • Complete Casual Staff rostered hours
  • Authorise scheduled hours online for Payroll


Competency

The Grammar Shop Convenor will ideally have the following skills and attributes:

  • Positive approach to P&F Auxiliary and Brisbane Grammar School;
  • Professional approach to presentation and duties;
  • Human Resource or Management experience;
  • Solid organisation and communication skills;
  • Outstanding customer service skills;
  • Business acumen significant to managing inventory;
  • Excellent financial aptitude;
  • Flexibility initiative and integrity;
  • Ability to work with limited supervision;
  • Effective time management skills;
  • Experience in a Retail Manager system or the ability to rapidly acquire an immediate level of competency in this software;
  • Commitment to continued efficiency and skills training.


Hours

  • This is a Part Time Term Timerole five days per week 7.30 am to 2.00 pm (30 min lunch). The hours may be varied in consultation with the Business Manager to ensure effective operation.


Skills And Experiences

Requirements

  • The Grammar Shop Convenor must hold a blue card.
  • Relevant experience or an ability to demonstrate the skills knowledge and attributes required for the role is essential.
  • Formal qualifications in a relevant discipline although well regarded are not essential for this role.
