Job Description

Job Title: Administrative Assistant

Department: BCI Technologies

Immediate Supervisors Job Title: Contract Specialist

Location: Ft Myers FL

Position Summary:

Full time: Shipping and Receiving Purchasing Time Tracking Accounts Payable and/or Accounts Receivable

Primary Duties and Responsibilities:

  1. Manage daytoday office duties including answering phone calls ordering and tracking employee time tracking on projects filing.
  2. Verify and Enter AP invoices for material received.
  3. Maintain the project server with all documentation necessary.
  4. Project set up backup when necessary.
  5. AR Invoicing backup when necessary.
  6. Performs other duties or special projects as requested related to the area of responsibility.

Education/Experience:

  • Graduation from high school or GED plus two years of responsible fulltime experience in an administrative capacity
  • Must demonstrate excellent verbal and written communications skills as evidenced by the ability to interact both facetoface and via telephone with personnel vendors and customers.
  • Proficiency with Microsoft Excel and Microsoft Word.
  • Proficiency with Data Entry.
  • Effectively coordinate materials ordering with project deadlines.
  • The ability to maintain strict confidentiality.
  • The ability to maintain flexibility work with frequent interruptions and manage multiple diverse tasks simultaneously in a fastpaced environment while meeting deadlines.
  • Ability to apply organizational skills office management practices and procedures and prepare and maintain reports and record keeping systems within established timeline
  • Ability to use computer software with word processing spreadsheet and database applications
  • Must be able to pass full background check including but not limited to; drivers license drug testing etc.
