Job Description:

The Finance Department is seeking an Executive Assistant. This person is responsible for highlevel administrative and decisionmaking support to the Budget Director. The EA must be able to multitask organize prioritize schedule and think strategically in a demanding and fastpaced environment. Professionalism confidentiality and discretion are essential.

  • Experience with Ellucian products a plus!

Duties/Responsibilities:

  • Manage the budget directors calendar and schedule meetings as requested
  • Run reports in Service Hub and Colleague related to revenue/expenses and set up the reports in excel using pivot tables and VP Lookup for data analysis
  • Assist the Budget director in updating the Budget Hierarchy Tree
  • Assist Budget Director in building the upcoming Fiscal Year budget
  • Process budget adjustments
  • Approve incoming Budget Adjustments from outside departments
  • Process journal entries to move expenses to correct GL accounts and submit for approval
  • Process the Monthly Recurring journal entries for postage supplies meter charges and copies
  • Train new admin on how to view/understand their budgets in Service hub
  • Set up admin with access to the appropriate GL lines associated with their department and create new GL roles if needed
  • Put together the Board Presentation for the Board of Trustees Committee meetings
  • Provide timely preparation of documents for future meetings and daily crosscheck of information flow
  • Develop step by step instructions on the Finance departments processes
  • Run the BiWeekly Student Payroll
  • Respond to incoming student payroll questions
  • Act as the first point of contact for the budget office
  • Help facilitate Personnel forms
  • Track and reconcile incoming revenue for event catering and site rentals
  • Assist in preparing the Monthly Board reports
  • Download and facilitate departmental budgets when requested
  • Schedule interviews for potential candidates that fall under the finance departments open positions
  • Answer incoming budget questions from admin throughout the University
  • Assist Accounts Payable in verifying if GL lines have enough budget to process invoices
  • Work closely with IT to help resolve any open tickets questions concerns and budget development problems
  • Performs other duties as assigned

Required Skills/Abilities:

  • Exceptional communication and writing skills with a high attention to detail.
  • Ability to maintain confidentiality of information.
  • Ability to interpret and implement rules regulations policies and other guidelines.
  • Demonstrated ability to set priorities work with diplomacy and efficiency in a fastpaced environment.
  • Strong organizational ability; skilled at meeting deadlines.
  • Diplomacy tact discretion and excellent interpersonal skills with ability to interact smoothly with all levels of personnel
  • Detailorientated approach excellent working knowledge of Microsoft Office Suite especially excel word publisher and power point
  • Ability to learn computer interfaces programs and applications to apply knowledge quickly.
  • Ability to manage both planned and unplanned events; nimbleness necessary to deal with circumstances while maintaining a positive and flexible professional demeanor.

Qualifications:

  • Must have experience with Ellucian products

Education:

  • Bachelors degree

Experience:

  • At least three years of office and administrative support experience. Experience in higher education is preferred.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
