This is a remote position.
The Project Coordinator is a key assistant role that supports Project Managers with administrative and operational tasks. This individual will focus on backend activities such as working within our quoting software (OI) managing data in HubSpot coordinating with manufacturers and ensuring orders are accurately processed. This position is essential to freeing up Project Managers to focus on timelines client communication and overall project execution.
Administrative & Project Support
Assist Project Managers Designers and EMLs in gathering and organizing information to gain customer approvals.
Register company credentials with manufacturers for project registration purposes
Prepare accurate and timely quotes within OI.
Request quotes from manufacturers and compile pricing.
Crossreference manufacturer acknowledgments for accuracy.
System Management (OI & HubSpot)
Enter and maintain project information in OI and HubSpot.
Support Project Managers in updating and tracking project progress through these platforms.
Upload key documents communication records and order status in HubSpot.
Learn and adapt to new features and updates within both systems.
Requirements
- Strong attention to detail and ability to manage multiple administrative tasks
- Excellent organizational and problemsolving skills.
- Proficiency in Google Workspace and Microsoft Office Suite (Word Excel PowerPoint).
- Enter and maintain project information in OI and HubSpot.
- Quick learner with the ability to adapt to new software platforms (OI HubSpot).
- Effective communication skills and team collaboration.
- Ability to work independently and support a fastpaced team.
Preferred Qualifications:
- Experience supporting project managers or operational teams in an administrative capacity.
- Exposure to FF&E interior design or K12 educational environments.
- Familiarity with project quoting software platforms
- Comfortable learning and navigating construction documents floorplans and vendor communications.
- Demonstrated ability to handle multiple priorities in a deadlinedriven environment.
