DescriptionWe are seeking a detailoriented and reliable Administrative Assistant to provide critical clerical and administrative support to our Disaster Response team in Frankfort KY. This position will assist with hotel management coordination invoicing data entry and reporting and general quality assurance/quality control (QA/QC). The ideal candidate will be adaptable and capable of supporting a variety of administrative functions as project needs evolve.
Key Responsibilities:
- Support sheltering team with hotelrelated tracking coordination and communication
- Assist in the processing and verification of invoices including gathering supporting documentation and ensuring accuracy
- Maintain and update spreadsheets and internal databases to track lodging expenses and occupancy
- Perform QA/QC checks on incoming data and documents to ensure accuracy and completeness
- Assist with document organization filing and retention
- Respond to emails and calls from vendors team members and partners as needed
- Generate reports and summaries for management review
- Provide general administrative support to the team and perform additional duties as assigned
Requirements/Qualifications:
- Prior experience in administrative clerical or office support roles required
- Strong proficiency in Microsoft Excel Word and Outlook
- Excellent organizational skills with strong attention to detail
- Ability to manage multiple tasks and meet deadlines in a fastpaced environment
- Strong written and verbal communication skills
- Experience with invoice tracking or hotel/vendor coordination is a plus
- Ability to work independently and as part of a team
- Must be dependable and able to maintain confidentiality with sensitive information
