Job Description

Position Summary:

NN Rent a Car is seeking a proactive and highly organized Administrative Assistant to support our daytoday operations. The ideal candidate will play a key role in ensuring smooth internal processes maintaining documentation coordinating with departments and providing exceptional customer and staff support.


Key Responsibilities:

  • Office Administration:

    • Manage incoming calls emails and correspondence.

    • Handle document preparation filing and data entry.

    • Maintain office supplies inventory and place orders when necessary.

    • Coordinate schedules appointments and meetings.

  • Customer Service Support:

    • Assist with reservation handling and client followups.

    • Greet and support walkin customers.

    • Address client inquiries and escalate issues when required.

  • Fleet and Operations Support:

    • Assist with vehicle checkin/checkout documentation.

    • Update vehicle availability and maintenance logs.

    • Coordinate with the operations team to track repairs and insurance renewals.

  • HR and Finance Coordination:

    • Maintain employee attendance and leave records.

    • Support payroll data collection and petty cash reconciliation.

    • Assist with basic accounting entries and invoice preparation.

  • Digital and CRM Tasks:

    • Update records on Wheelsys/Zoho CRM (or any designated platform).

    • Help generate reports as required by management.

    • Support marketing and loyalty program campaigns with administrative tasks.



Requirements

Required Qualifications:

  • Proven experience in administrative roles preferably in car rental or service industry.

  • Strong organizational and multitasking skills.

  • Proficient in Microsoft Office (Word Excel Outlook) and general tech savviness.

  • Excellent verbal and written communication skills in Arabic and English.

  • High attention to detail and problemsolving abilities.

  • Ability to work under pressure and meet deadlines.

Preferred Skills:

  • Familiarity with car rental software (e.g. Wheelsys Odoo Zoho).

  • Customer service or receptionist experience is a plus.

  • Basic knowledge of accounting procedures.
