The Sales Support Supervisor provides support and guidance to the sales support representatives throughout their daily activities and workflow. This position is responsible for ensuring quality and efficient support and service is provided to our customers. Responsibilities also include training employees; planning assigning and directing work; individual and team development appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Oversee the daily operations of sales support representatives with responsibilities for scheduling training performance management disciplinary action and career development. Oversee and manage activities of the department to include:

  • Check work and progress of sales support representatives on a daily basis.
  • Be a resource to answer questions on invoicing inventory credit memos policy and procedures.
  • Provide positive as well as constructive feedback to team members on a regular basis.
  • Run reports such as uncosted invoices and open orders; research and address items for resolution identify and communicate results appropriately. Assist and guide team toward proper management of reports.
  • Communicate with sales associates vendors etc. to resolve outstanding issues quickly and effectively.
  • Handle escalated client calls with diplomacy and tact.
  • Participate and contribute in weekly leadership and bimonthly department meetings.
  • Review and make decisions on team members time off requests ensuring the proper staffing levels are in place.

Prepare and deliver performance improvement plans to identify and aid in aligning an employees performance or standard of conduct to reflect company policy and procedures.

Proactively work with team members manager and other departments to successfully meet department invoicing productivity and quality objectives.

Assists in the response and resolution of employee relation issues expressed by team members.

Prepare and administer performance reviews for development and growth of assigned team members.

Assist the sales support manager by communicating job expectations; monitoring appraising job results; coaching counseling and disciplining employees developing coordinating and enforcing system policies and procedures.

Use appropriate judgment in upward communication regarding department or employee concerns and assists in the communication for disciplinary and/or performance issues according to company policy.

Supervisory Responsibilities

Directly supervise up to 20 sales support representatives in assigned sales support team(s). Responsibilities include planning assigning and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Qualifications

Education and/or Experience

Required: High School Diploma or GED. Preferred: Associates degree (A. A.) in sales and marketing business accounting or equivalent from twoyear college or technical school; plus two to three years related experience and/or training or equivalent combination of education and experience.

Ability to calculate figures and amounts such as discounts interest commissions proportions and percentages. Job duties also require the analytical skills to validate system generated calculations.

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written oral diagram or schedule form.

Computer Skills

Working knowledge of Microsoft Office programs as well as a solid understanding of the American Solutions for Business billing software (PeopleSoft) and document management software (MFiles)

While performing the duties of this job the employee is frequently required to sit and occasionally required to stand and walk. The ability to speak listen and hear are required; specific vision abilities include close vision.

Much of the day is spent working at a computer workstation which requires continual wrist and hand movement as well as the ability to view a monitor for extended periods of time. The employee must occasionally lift and/or move up to 25 pounds.

Work Environment The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level is usually quiet.
