Job Description

Description

Position Function: Receives and directs patients and visitors at the reception desk. Coordinates patient flow within the department and accurately processes patient information. Handles communications (telephone fax email) procedures in an efficient manner. Collects patient payments (co insurance and or deductible).



Responsibilities

Unit Based Essential Functions and Responsibilities


Job Class Specifics only for Diagnostic Imaging


1. Maintains a neat clean work area; communicates to housekeeping needs as appropriate.
2. Routinely demonstrates competency and adherence to all organizational safety directives and P&Ps including but not limited to: Fire Right to Know (MSDS) HIPAA Emergency Preparedness Infection Control Life Safety (Utilities) and department specific safety procedures as evidenced in daily performance of job functions and successful response to drills and incidents.
3. Verbalizes understanding of the hospitals quality model and quality tools.
4. Demonstrates a willingness to accommodate overtime requirements or changing priorities in the workplace.
5. Prioritizes workload at the beginning of the shift in order to maintain efficient patient flow.
6. Recieves all patients at the reception window in Diagnostic Imaging or MRI; adheres to and implements positive customer service behaviors in a consistent manner.
7. Answers telephone in reception area; responds to requests for information. Refers calls to appropriate staff as necessary; takes complete phone messages to include caller inquiry name date time and response requested. Displays proper telephone etiquette at all times; demonstrates the ability to use the telephone system properly and effectively. Places outgoing or transfer calls as requested.
8. Completes checkin process for all patients and prints face sheets. Reviews face sheet with each patient for any pertinent insurance authorization information and signatures.
9. Checks for accuracy of registration to include correct name date of birth medical record number and account number.
10. Reviews patient order assuring that correct ordering doctor is listed on all orders. Assures that any additional report requests are added in Meditech Synapse or Valco scanning. Adds fax requested information in Meditech Process Orders.
11. Reviews physician order for documented chief complaints and medical necessity information including ICD9/10 codes. Identifies pertinent findings independently seeks additional information or medical necessity conditions.
12. Request patients to fill out medication check lists and magnet safety screenings as needed.
13. Enters orders for Diagnostic Imaging studies into Meditech noting accuracy of information entered to include correct medical record number correct patient name and birth date ordering physician and account number.
14. Notifies appropriate technologist upon arrival of scheduled or nonscheduled patient information into tracker in order to notify technologists of patient arrivals.
15. Receives requests for scheduling of urgent/stat Diagnostic Imaging procedures. Enters non scheduled procedures appropriately in accordance with departmental guidelines. Instructs as appropriate on required preps for requested procedures corrects /edits existing orders for appointments that need to be rescheduled or changed. .
16. Routinely completes Medical Necessity verification process (including obtaining ABNs) per CWS having patient sign ABN as appropriate.
17. Prepares and organizes Meditech History/Order sheets Scans all appropriate documents into Valco or Synapse including doctor order face sheet medication checklist and consent forms.
18. Checks frequently for call reports printed by Radiologists to reception printers at main desk and in MRI. Calls and faxes stat reports to ordering providers promptly. Places note in Synapse to verify that stat reports have been called and faxed by noting date time and provider by name.
19. Relays information on stat reports to patient or requesting provider. Makes phone calls to referring physicians and communicates/documents critical values or stat exam findings per department policy. Communicates any further instructions (Hold and Call cases) to patient before patient leaves the Department. Documents conversations and instructions with patient and providers office in Synapse.
20. Accurately processes Point of Service (POS) collections from patients via automated Meditech or credit card payment applications; routinely identifies coshare accounts discusses the patients financial obligation and collects/posts payments as outlined in the POS Collections for High Tech Imaging Services. Routinely completes accurate End of Shift cash drawer and bank deposit procedures insures that funds are secure and fully accounted for pror to end of shift assignments completes funds transfer to the Cashier or Emergency Dept. no less than 5 minutes prior to end of shift. Reports any discrepancies or variances to supervisor immediately.
21. Receives requests from patients for copies of reports and CDs. Assures patient provides proper I.D. and signs release form .
22. Successfully operates Meditech and Synapse information systems.
23. Performs all duties in accordance with departmental and hospital policies and procedures.
24. Demonstrates knowledge of various departmental jobs; maintains ability to assist in other positions as required.
25. Performs other related duties as directed.

Physical and Mental Requirements: Classified as medium work by the Dictionary of Occupational Titles: May exert 2050 pounds of force occasionally and/or 10 to 20 pounds of force frequently and/or greater than negligible (up to 10 pounds) of force constantly in order to move objects.
Stands or walks throughout hospital occasionally.
Sits frequently on a hard or cushioned chair.
Occasionally lifts up to 40 pounds from floor to waist level.
Intermittently assists MRI Technologists with patient lifts and transfers.
Pushes/pulls up to 125 pounds from floor to floor on an occasional basis.
Occasional bending squatting twisting and kneeling during normal shift.
Reaches to heights of up to 2 feet overhead frequently.
Ability to move rapidly in response to unpredictable emergencies that could happen one or more times per shift.
Near visual acuity with color perception in order to view computer screen deciper fine print and detect changes in patients skin color and colors of medications and solutions.
Auditory acuity sufficient to hear phone conversations overhead pages alarms and call bells (i.e. respiratory oximeter fire alarm) heart and lung sounds (differentiating the quality of each) normal voice tones when not facing the individual and able to hear as well as see blood pressure readings with accuracy.
Ability to occasionally operate hand and foot controls on beds and wheelchairs.
Manual dexterity digital sensitivity and flexibility (i.e. ability to program equipment draw blood check pulses and temperatures of patients adjust flow rates open medications and utilize a keyboard).
Good hand/eye coordination.
Mental Demands Possesses good general mental health; ability to work under pressure; ability to communicate effectively in both written and verbal form; must establish priorities among the essential functions of the job and coordinate these functions with others; able to speak read and write the English language.

Working Environment: Work is performed in a wellilluminated climatecontrolled indoor office environment
Reporting Structure: Reports to the EEG/Sleep Center Director. In his/her absence reports to the designee. Establishes and maintains working relationships within the department physicians patients other departments and with the public.

Qualifications

Qualifications and Standards

Education: High school graduate or equivalent with concentration in business education. Medical Terminology preferred.

Experience: Experience applying customer service behaviors and communication skills required. Prior experience demonstrating reception and basic business skills i.e. telephone receiving patients etc. preferred; typing at a minimum of 40 words per minute.

Certifications/Licensure: None required.
