The Administrative Assistant and Bookkeeper for Child Nutrition supports the operations of our School Nutrition Program. This role combines clerical and financial reesponsibilities to ensure smooth administratie workflows and accurate financial record keeping in accordance with federal state and local regulations. This individual is passionate about supporting school nutrition initiatives and skilled in both office administration and bookkeeping practices.
Qualifications
- High school diploma or equivalent required. Associates or Bachelors in accounting business administration or related field preferred. Minimum of two (2) years of experience in administrative support and/or bookkeeping preferably in a school or nonprofit environment.
- Ability to maintain confidentiality and handle sensitive information with integrity
- Strong organizational and multitasking skills
- Proficient in Microsoft Office Suite (Word Excel) Google Docs and accounting software
- Knowlege of school nutrition programs (e.g. NSLP SBP CACFP preferred
- Working knowledge of school nutrition software programs (e.g. LINQ School Nutrition/Titan) preferred
- Excellent written and oral communication skills
- Detailoriented with strong problemsolving abilities
Key Responsibilities
- Provide daily administrative support to the School Nutrition Program staff and leadership
- Manage calendars schedule meetings and prepare agendas and minutes
- Maintain organized filing systems for program documentation and compliance reports
- Assist in preparing correspondence newsletters and other communication materials
- Serve as the first point of contact for internal and external inquiries
- Coordinate supply orders and maintain inventory records
- Support the preparation and submission of program applications renewals and compliance forms
- Process and reconcile accounts payable and receivable related to the School Nutrition Program
- Maintain accurate records of all financial transactions in accordance with school district state and federal guidelines
- Prepare monthly quarterly and annual financial reports for internal review and grant compliance
- Assist with budget tracking and analysis for program expenditures
- Ensure proper documentation and tracking of meal reimbursements and grants
- Support audits by gathering and organizing required financial documentation
- Other duties as assigned by the supervisor superintendent or local Board of Education
