Duties & Responsibilities:

- **Supervise/manage front office operations; handle customer service/support requests made by staff; troubleshoot issues; develop define and apply new and improved techniques strategies and methods to solutions toward operational issues.
- **Supervise/manage office operations; handle customer service/support requests made by staff; troubleshoot issues; develop define and apply new and improved techniques strategies and methods such as artificial intelligence (AI) to solutions toward operational issues and achieving greater efficiencies.
- **Ensure timely appropriate and coordinated responses to customer and public communications regarding departmental programs via email social media telephone and other communications platforms; works with program coordinators to update and keep current program webpage social media and other digital content.
- **Serve as department procurement and PCard corporate credit card subject matter expert; manage and ensure systematic timely fulfillment of request ticket system (requests include procurement SIS registration program review and assessment and other categories).
- **Prepare informational and operational reports orally and in writing; responsible to the Director for tracking and reporting all income revenue profit and loss and other financial grant projects and accounting information.
- **Serve as liaison and coordinate with other campus University Center staff Student Services and other college units to collaboratively disseminate University Center programming information; plan and execute University Center outreach events.
- **Serve as a student information system (e.g. Modern Campus/Destiny SIS) subject matter expert and support campusbased aspects of the SIS to include registration invoicing reporting; serve as information liaison with Business Office and Student Services staff.
- **Assist Director in the supervision of professional clerical and student personnel and in the administrative operations of the department by conferring with observing aiding and instructing staff verbally or in writing regarding objectives program reviews and reports for federal and state grant programs.
- **Assist Director with review and processing of memoranda of agreements (e.g. MOAs for custom/sheltered courses).
- **Assist Director with screening of international student applications for intensive English program and SEVIS I20/F1 Visa tracking and reporting.
- *Develop and write standard operating procedures; ensure procedural audit and separation of duties compliance; train and evaluate subordinate staff and student employees.
- **Schedules staff for evening and weekend coverage and develops strategies for afterhours registrations and class logistics management; develops and oversees emergency closure protocols.
- **Ability to work a flexible schedule that will include evening and/or weekend work when necessary.

Minimum Qualifications:
Education and Professional Work Experience:
- Possession of a baccalaureate degree in Business Education Management Marketing Public Administration Technology or related field and three (3) years of progressively responsible professional experience; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
Knowledge Skills and Abilities:
- Considerable working knowledge of principles practices and techniques in the area of Business Education Management Marketing Public Administration Technology or related fields as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts principles and methodologies.
- Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with higher education institutions.
- Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective innovative and timely manner.
- Demonstrated ability to interpret and present information and ideas clearly and accurately in writing verbally and by preparation of reports and other materials.
- Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team leaders and members and individuals.
- Demonstrated ability to operate a personal computer apply word processing software spreadsheet and database software and enterprisewide productivity software as Google UH Kuali Build but not limited to.
- Demonstrated ability to lead subordinates manage work priorities and projects and manage employee relations
Desirable Qualifications:
- Considerable working knowledge and understanding of applicable federal and state laws rules regulations and theories and systems associated with the University of Hawaii system.
