You ll ensure the CEO s time energy and attention are optimized daily. This means managing calendars systems reports and communications with precision while automating what doesn t need a human touch. Own the CEO s calendar inbox and task prioritization using Superhuman Slack and scheduling tools.
Run daily reporting flows and internal systems using automation (Zapier Notion AI GPT).
Build and maintain SOPs to stabilize recurring processes and reduce CEO input.
Monitor usage of CRM and internal tools; recommend improvements or automation.
Track tasks and progress across departments; follow up with key stakeholders.
Identify inefficiencies in executive workflows and reduce friction using AI or process updates.
Surface insights reminders and actionables to ensure nothing falls through the cracks.
AIPowered Outreach: Use ChatGPT to create at least 5 customized rebuttals email templates or call scripts by Day 30 that improve prospect engagement and reduce hangups.
Tool Mastery: Achieve full fluency in scheduling inbox and CRM systems by Day 30 confirmed by CSM and consistent zeroconflict calendar execution.
SOP Creation: Build and deliver 3 SOPs using Notion AI or GPT by Day 45 to streamline core recurring workflows.
Daily Automation: Implement a system to send automated daily update reports to the CEO by Day 30 with 100% ontime delivery for 10 consecutive workdays.
Response Time Reduction: Cut email and task response delays by 20% by Day 60 using Superhuman scripts validated through inbox audits and stakeholder feedback.
Process Elimination: Identify and eliminate at least 2 manual workflows via AI or automation by Day 90 with documented before/after metrics showing time saved.
30 Days: Audit current tools and workflows learn internal processes assist with calendar and inbox; build first SOP.
60 Days: Own inbox calendar fully; complete 2 more SOPs; implement automated daily updates.
90 Days: Own full executive workflow; reduce manual inputs; lead first sprint for systems improvement and report back wins.
Conversational English Fluency: Demonstrate clear confident and persuasive communication during live calls and roleplays by Day 15 with 90% positive feedback from CSM or LMS reviewers.
Executive Workflow Ownership: Fully manage the CEO s calendar inbox and task coordination independently by Day 30 with no doublebookings and all daily tasks executed on schedule.
AI & Automation Proficiency: Use ChatGPT Notion AI or similar tools to automate at least 3 recurring workflows by Day 45 reducing manual inputs and improving operational speed.
Strategic Communication & Risk Flagging: Proactively surface blockers updates and followups with context and clarity by Day 30 reflected in weekly feedback from CEO or stakeholders.
Process Innovation & Elimination: Identify and eliminate 2 manual or repetitive tasks using automation tools by Day 60 with documented time savings and system impact.
2 years experience in executive support operations coordination or systems administration.
Strong proficiency in GSuite Superhuman and digital calendar/email management.
Demonstrated usage of automation tools (e.g. ChatGPT Notion AI Zapier).
Excellent written and verbal communication; able to communicate concisely with senior stakeholders.
Strong ownership mindset doesn t need micromanagement solves problems independently.
Ability to handle sensitive information with discretion and clarity.
