The Role

We are currently seeking a Receptionist to join our Belfast office. As a Receptionist you will be the first point of contact for clients and visitors providing excellent customer service and ensuring the smooth running of the reception area. This is a key role within the firm and requires a friendly and professional manner exceptional communication skills and the ability to handle a wide range of tasks in a fastpaced environment.

Responsibilities of the Receptionist include:

  • Meeting and greeting clients
  • Answering screening and forwarding incoming phone calls of a busy switchboard
  • Managing the reception area ensuring it is clean and tidy at all times
  • Managing meeting room bookings and maintaining the meeting room schedule ensuring all boardrooms are set up for each meeting
  • Liaising with other departments/facilities within the firm as appropriate to ensure all necessary equipment etc. is in place for meetings/functions
  • Managing catering and supplier orders for meetings and events
  • Assisting with administrative tasks including sorting and distributing mail ordering office supplies and organising courier services
  • Assisting with ISO H&S Fire Warden tasks & duties
  • Assisting with adhoc administrative duties and any other tasks that may be required


Requirements

We are looking for a proactive and professional individual who has excellent communication and organisational skills. The ideal candidate should have:

  • Previous experience in a receptionist or customer service role
  • Excellent verbal and written communication skills
  • A friendly and approachable manner
  • The ability to multitask and prioritise tasks effectively
  • Proficiency in using Microsoft Office applications including Outlook Word and Excel
  • Strong attention to detail and the ability to maintain confidentiality
  • An enthusiastic and proactive attitude
  • A willingness to become a First Aider and Fire Warden. Training will be provided
  • A knowledge of workplace Health & Safety and Fire Evacuation procedures is desirable

Experience in a professional services environment would be advantageous but not essential. A&L Goodbody is committed to providing an inclusive and supportive work environment.

Office Hours

The reception and switch area opens at 8.00am and closes at 6.00pm. A rota system is in place and flexibility is required to ensure this area is manned during these times.
