Job Description

Reporting to the Associate Vice President (AVP) of Student Experience the Manager Strategic Initiatives & Operations plays a key role in providing comprehensive administrative and operational support to the AVP Executive Director and full Student Affairs leadership team. The Manager will manage a broad range of tasks that include assisting with budget development and management support for human resources processes collecting analyzing and interpreting data related to Student Affairs operations strategic initiative project management & preparing reports presentations and documents including grant funding and proposal development. Additionally the Manager will focus on identifying process inefficiencies and opportunities for improvement in Student Affairs operations developing and implementing process improvements and workflows to enhance leadership efficiency. This role will also supervise staff with responsibilities for administrative tasks associated with payroll event coordination and marketing for Student Affairs department.

What Youll Be Doing

  • Supporting the preparation management and monitoring the Student Affairs annual budgets;
  • Regularly analyzing budgets and expenditures to identify areas of concern opportunities for costsavings reporting variances resolving discrepancies etc.;
  • Working closely with Student Affairs leadership to review and adjust budgets and supporting purchasing/procurement functions (requisitions purchase orders invoices);
  • Preparing financial reports for Ministry filings and other ad hoc reports;
  • Supervising payroll submissions and expense reporting as prepared by other staff;
  • Collecting analyzing and interpreting data related to student affairs operations;
  • Identifying trends and patterns to inform decisionmaking;
  • Developing and maintaining data dashboards and reports to communicate findings to leadership;
  • Developing quality assurance mechanisms to ensure consistency and adherence to standards in the assessment process;
  • Supporting the translation of data into the development and production of impact reports that communicate service data project outcomes and recommendations;
  • Collaborating with leadership to identify report and proposal requirements and developing content that aligns with their goals;
  • Supporting grant funding identification and proposal development;
  • Supporting defining project requirements objectives and deliverables in consultation with leadership/stakeholders;
  • Coordinating project tasks and resources to ensure timely delivery; Maintaining project documentation and records.
  • Supporting the management of projects from inception to completion including proposals/charters scoping planning execution and monitoring;
  • Identifying and mitigating project risks and issues to minimize impact on project outcomes;
  • Identifying process inefficiencies and opportunities for improvement in Student Affairs operations;
  • Developing and implementing process improvements and workflows to enhance leadership efficiency;
  • Building and maintaining process documentation training materials and other resources to support implementation and adoption of new workflows;
  • Supervising staff with responsibility for coordinating departmental meetings and events and support for AVP schedule;
  • Coordinating HRrelated paperwork supporting new hires with orientation processes;
  • Ensuring accuracy of employee records and confidential information as maintained by other staff;
  • Supervising and/or assisting with payroll leave reporting and attendance tracking;
  • Performing other duties as required by leadership to support the achievement of Student Affairs strategic priorities and goals.

The successful candidate will also meet the following qualifications:

  • 4year Bachelors degree in Commerce; Business Administration Accounting Finance Human Resources or related field.

  • 5 years of experience assisting in budget planning/preparation tracking/monitoring expenditures and financial reporting preferably in a postsecondary environment. (Equivalency to be considered).

  • Ability to collect analyze and interpret data to identify patterns/trends to support leadership decisions.

  • Strong proficiency in Microsoft Excel including managing large data sets creating pivot tables conducting sorts etc.

  • Project Management designation Business Analysis/Analyst designation will be considered an asset

  • Microsoft Excel training.

  • Tableau training (or other data visualization tools) will be considered an asset.
