POSITION TITLE: Executive AssistantCLASSIFICATION: Fulltime;twelve month; exempt; confidentialREPORTS TO: SuperintendentHOURS: MondayFriday 7:30 am 4:00 pm is the typical schedule adjustments to be determined by the Superintendent. This position requires frequent work outside regular day time work hours including attending evening meetings of the School Committee to take SUMMARYProvides administrative support to the Superintendent and administrative services to the District ESSENTIAL JOB District policy manuals and supporting regular updates to District Policy as required by the Superintendent and School Superintendent schedule including scheduling meetings and interviews and organizing registrations for external meetings and conferences and maintaining in a confidential manner all files pertinent to personnel such as District employee applications performance evaluations attendance and disciplinary records and employee in formulation of School Committee and School Committee Subcommittee agendas and distributing materials to School to School Committee requests for School Committee members appointment and training records and communicating with member towns when terms are expiring or positions are the Superintendent and Human Resources personnel with maintaining up to date job descriptions for all positions and supporting all aspects of employee onboarding process including position postings interview scheduling verifying employment reference checks and drafting initial with implementing Human Resources policies and procedures regarding the processing of CORIs SORIs finger printing records and responsible for maintaining uptodate CORI records on all employees and up to date internal employee contact information and external employee emergency contact correspondence reports forms memoranda and other written documents and reviewing and editing confidential and as directed responding to mail for Superintendent including composing basic correspondence and placing and answering telephone master key lists for the school facility and manages key sign out secretarial staff including assigning and coordinating work as directed by of Superintendent recommendations for collective bargaining the Superintendent and School Committee in processing of employee and implementing a calendar to assure the timely filing of federal state and local reports and forms developing and maintaining file of relevant pending and enacted and placing District legal notices and posting meetings in accordance with Open Meeting the Records Access Officer with responding to Public Records Requests and meeting required with annual development of the Superintendent Office and School Committee budget and entering in purchase requisitions maintaining Superintendent and School committee travel expense visitors to Superintendents regular attendance and punctualityKNOWLEDGE SKILLS AND to process and appropriately maintain sensitive confidential material to be extremely organized and detailed oriented and maintain with District member technology skills including Google Suite and Microsoft Office and ability to use all office equipment verbal and written communication to exercise discretion appropriately work independently and carry out complex assignments with general to interact appropriately and in a positive manner with the School Committee public staff and business to learn and understand District rules and procedures and Districts legal requirements
