Job Description

At KordaMentha we foster a culture of innovation collaboration and excellence. Were looking for a proactive and organised Executive Assistant to support our leadership team in driving success and achieving ambitious goals.

In this key role you will provide high-level support to our executives and their teams managing calendars coordinating meetings handling travel and ensuring smooth daily operations. This is a unique opportunity to work closely with senior leaders in an agile and impactful environment as the firm continues to expand.

Key Responsibilities:

  • Manage diaries arrange meetings and communicate with VIP clients and C-suite executives.

  • Prepare presentations reports and correspondence for senior leadership.

  • Coordinate travel and accommodation for executives.

  • Organize client functions marketing events and meetings including technical setup and catering.

  • Handle incoming calls and emails ensuring prompt action and follow-up.

  • Assist with invoicing WIP reports and CRM updates.

  • Prompt ordering of ASIC and document searches via the search service desk. 

  • Assist with group projects and research requests as required. 

  • Support interstate teams with meetings and events coordination.

  • Provide general administrative support including document preparation photocopying and creating reports.


Qualifications :

  • Minimum of 45 years experience in a comparable role.
  • Outstanding organisational and time management skills.
  • Demonstrated ability to maintain professionalism in all interactions.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Confident navigating multiple technology platforms including CRM systems SharePoint and video conferencing tools.
  • Proven capability to manage competing priorities and meet multiple deadlines.
  • Resilience under pressure and ability to thrive in fast-paced environments.
  • Strong initiative and accountability in managing responsibilities.
  • Ability to work autonomously and collaboratively within a dynamic team.
  • Excellent verbal and interpersonal communication skills.
  • Flexibility in working hours and adaptability to shifting priorities.
  • High attention to detail and commitment to quality.
  • Willingness to take a hands-on approach to tasks and challenges.
