Description

Colorado Academy seeks an experienced accountant to further the mission of the school by processing all payroll managing accounts payable and assisting the Director of Finance and HR Director with various projects. This position is an integral part of the business office and assists in the integrity of the schools financial and business operations. The ideal candidate will be a highly analytical problemsolver with expertise in database management and record keeping with impeccable attention to detail. They will be selfmotivated and committed to maintaining confidentiality and a customer service focused mindset ensuring the accuracy of monthly payroll while also tending to the various requests of students and families while also developing and maintaining positive relationships with a variety of thirdparty vendors. Applicants should exhibit an advanced understanding and ability to use computers and technology including Microsoft Windows and Office products basic office equipment Human Resources Information Systems (HRIS) and accounting software (Blackbaud).

Requirements

Key Responsibilities

  • Payroll Management:
    • Processes monthly payroll and related records and remittances monitoring changes in payroll related data
    • Coordinates and enforces the monthly payroll approvals process following up with employees and/or time clock supervisors to address delinquencies or discrepancies
    • Maintains electronic payroll records in the schools HRIS including but not limited to new hire information pay updates and terminations
    • Reconciles payroll accounts ensuring that proper withholdings and contributions agree with amounts paid out
    • Answers payroll related questions from employees and budget owners
    • Assists the HR Director with employee lifecycle tasks and other general HR functions within the schools business office
    • Maintains and secures confidential files and records handling written oral and electronic information in a confidential manner
    • Suggests new procedures and policies to continually improve efficiency of the HR and Accounting departments and school as a whole and to improve employee experience
  • Accounts Payable Management:
    • Processes vendor invoices and expense reports in accordance with school policies
    • Prepares and processes payments (e.g. checks ACHs wires and credit card payments)
    • Imports payment information to and the banks online positive pay.
    • Reconciles vendor statements and resolves discrepancies
    • Maintains accurate and uptodate vendor information and records including W9s.
    • Serves as administrator of the schools purchasing card program
    • Imports invoice and payment detail from to Blackbaud
    • Assists with monthend quarterend and yearend closing procedures
    • Prepares payables supporting documentation for annual audits
    • Prepares calendar yearend IRS Form 1099s
    • Prepares and distributes monthend financial reports to budget managers
  • Operational Efficiency:
    • Collaborates with departments to ensure timely and accurate processing of invoices
    • Identifies opportunities to automate accounts payable processes
    • Maintains appropriate professional skepticism when reviewing payment requests
    • Keeps informed of changes in accounting and tax regulations
  • Other duties as assigned
Requirements

Qualifications/Experience:

  • High school diploma (or equivalent); Bachelors degree is a plus
  • Prior experience in a bookkeeping accounting payroll or human resources position
  • A basic understanding of employment laws including but not limited to ACA FMLA FLSA ADA OSHA COBRA HIPAA Workers Compensation Title VII ERISA IRS guidelines etc.
  • Advanced understanding and ability to use computers and technology including Microsoft Windows and Office products (especially Word and Excel) Google products (Gmail sheets docs) Human Resources Information Systems (HRIS) accounting software (Blackbaud) basic office equipment
  • Prior experience with Paylocity is preferred
  • Prior experience with Blackbaud is a plus
  • Demonstrated skills in database management and record keeping
  • Excellent attention to detail and accuracy; outstanding judgement and problemsolving skills including the ability to maintain confidentiality and exercise extreme discretion
  • Welldeveloped interpersonal written and verbal communication skills including the ability to communicate effectively with all constituents in a school environment including students coworkers parents alumnae volunteers and the public
  • Adaptability honesty selfreliance teamwork dependability flexibility willingness to listen and learn work ethic determination persistence problemsolving skills research skills empathy and congeniality are essential

Physical Requirements and Work Environment:

  • Works in standard office or classroom conditions and climate; occasionally works outdoors in varying weather conditions and climate
  • Uses close vision and works at a computer screen for extended periods of time
  • Works at a desk for extended periods of time; occasionally moves around campus and between campuses to supervise auxiliary programs in a variety of indoor and outdoor locations
  • Ability to occasionally move items weighing up to 30 lbs. across the campuses/office
  • Works in a stressful environment effectively dealing with a wide variety of challenges deadlines and a varied and diverse array of contacts; frequently requires the stamina to maintain attention to detail despite interruptions
  • Ability to work flexible hours to meet monthly quarterly and annual deadlines and to support before and afterschool or weekend activities

The pay for this position is $70000 $80000/year. Although this is a good faith and reasonable estimate of the possible compensation at the time of posting Colorado Academy reserves the right to pay more or less than the posted range. Any wage differential that may exist for the position does not relate to sex gender or gender identity but relates solely to a seniority system a merit system or relevant education training and/or experience. Medical Dental Vision and Life Insurance benefit programs are available as is a 403(b) retirement plan. Eligibility for all benefit programs is defined by the applicable plan document.
