Job Description:
Position Purpose Summary:
This position provides excellent customer service by collecting and delivering a variety of donations in a courteous and prompt manner. When not driving they perform general warehouse duties and administrative tasks.
ACCOUNTABILITIES:
1. Gift in Kind (GIK) Donations
Identify and secure GIK Donation Opportunities by actively seeking out and establishing donation opportunities with individuals corporations retailers manufacturers warehouses and other potential sources.
Coordinate and maintain regular communication with program staff to stay informed about current wish lists and specific needs.
Ensure accurate documentation of all GIK items that have been received including donor information and value assessment.
Track and perform regular inventory check of all GiftinKind items and implement an effective inventory management system.
Ensure all GIK donations comply with relevant regulations and internal policies.
Foster connections by identifying and establishing initial connections with donors volunteers and community partners and relay these contacts to the supervisor for ongoing relationship development.
Actively advocate for and communicate the Mission and Vision of The Salvation Army to donors stakeholders volunteers and community partners.
2. Volunteers
Build strong relationships with volunteers and acknowledge their valuable contributions.
Promote support and involve individuals and groups in the organizations mission through volunteer activities and inkind support.
Maintain precise record keeping of volunteer participations and donation details.
Help organize support and oversee volunteer activities related to the sorting and distribution of donations.
Provide direction and support to volunteers during donation pickup operations.
3. Driving:
Serve as the primary point of contact for GIK donation collection and efficiently organize and oversee the scheduling and logistics for collecting donated items.
Ensure safe secure and timely handling of all scheduled deliveries and pickups.
Maintain accurate records of all deliveries and pickups for auditing purposes.
Adhere to procedures for tracking gasoline expenditures and reporting accidents.
Participate and complete daily reviews of the delivery and pickup schedule with the Community Engagement Coordinator and/or Program Coordinators.
Manage the pickup delivery and transportation requirements for food coats toys and any donation drives as required.
Load and unload GIK donations to and from various designated facilities.
Ensure the safety of company vehicles by performing regular circle checks visual/physical inspections.
Maintain knowledge of legislative and organizational policies including health and safety regulations provincial and municipal highway traffic acts.
Additional tasks assigned to support the objectives and operations of Community Services (Calgary) as advised by supervisor.
Administrative:
Maintain accurate records for vehicles including vehicle logs as required.
Establish and maintain a clear systematic filing system for all GiftinKind documentation.
Complete and submit incident/injury reports as required.
Provide reporting metrics to supervisor and/or Community Relations Manager as needed.
CRITICAL RELATIONSHIP MANAGEMENT
Internal:
Ministry Unit employees and/or volunteers.
Community Relations Team and Program Coordinators.
External:
Donors vendors suppliers and service providers.
Engages in positive conversations with donors and sharing information about our mission values and major programs and initiatives in Calgary.
MANAGERIAL/Technical Leadership RESPONSIBILITY:
Reports directly to: Community Engagement Coordinator.
Direct reports for this position: None.
FINANCIAL AND MATERIALS MANAGEMENT:
Demonstrate diligent stewardship of resources.
Complete monthly expense reports.
Occasionally collect financial donations on behalf of the Ministry Unit.
WORKING CONDITIONS:
Duties are primarily carried out offsite including in a vehicle and at stakeholders locations.
Work schedule may vary (evenings weekends and oncall for emergencies).
May be exposed to hazardous driving conditions as well as varying temperatures depending on seasonal weather.
May be exposed to machinery noise.
Tasks require prolonged periods of standing
EDUCATION AND EXPERIENCE QUALIFICATIONS:
Education Qualifications and Certifications:
Completed high school or equivalent plus specialized courses of up to six (6) months within the field.
Satisfactory Police Information Check (PIC).
Valid Class 5 drivers license.
Satisfactory drivers abstract showing proof of clean driving record.
Experience and Skilled Knowledge Requirements
23 years of prior related experience would be an asset.
Intermediate Microsoft Office Suite (Word Excel Outlook PowerPoint and Teams) is an asset.
Excellent verbal and written communications skills.
Skills and Capabilities:

Highly organized creative and motivated selfstarter with the ability to work independently while prioritizing and working under pressure.
Safely and efficiently operate company vehicle fleet.
Able to lift up to 50 pounds on a regular basis.
Displays a positive outlook and demonstrates effective teambuilding interpersonal and collaboration skills.
Strong sense of integrity excellence and confidentiality.

Compensation:
The target hiring range for this position is $18.14 to $22.68 with a maximum of $27.22.Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
