This is a remote position.
About the Role
We re seeking a Project Coordinator who goes beyond scheduling and tracking someone who uses automation and AI tools to streamline delivery surface insights and keep crossfunctional teams aligned and on track.
In this role you ll be the connective tissue of projects leveraging tools like Notion AI ClickUp ChatGPT and Airtable to manage tasks preempt blockers and ensure timely delivery across teams.

Key Responsibilities
Coordinate project timelines milestones and dependencies across distributed teams using Notion ClickUp or Asana
Automate routine status updates task assignments and reminders using tools like Zapier or Make
Use ChatGPT to summarize meetings draft project briefs or prestructure documentation
Maintain uptodate dashboards and track project KPIs (e.g. task completion rate cycle time blocker resolution)
Identify workflow inefficiencies and partner with stakeholders to improve coordination processes
Support onboarding meeting prep and documentation using AIenhanced systems

Audit current project coordination systems and identify 3 automation or simplification opportunities
Launch automated update workflow for one key project (e.g. Slack reminders Notion updates)
Ensure 100% visibility on active tasks and timelines across one team
60 Days
Deploy project dashboard template (ClickUp Notion Airtable) across 2 3 teams
Use ChatGPT or Claude to help reduce update/report creation time by 50%
Establish async checkin rituals and automated meeting summaries
90 Days
Scale automation playbook to at least 5 projects; reduce coordination time per project by 30%
Launch internal Project Health Scorecard showing cycle time task risk and delivery accuracy
Proactively resolve blockers before escalation in 80% of active projects
Key Performance Objectives (KPOs)
Reduce manual coordination time by 10 15 hours/week through automation
Maintain 95% ontime delivery rate across tracked projects
Automate 3 recurring coordination workflows (updates reminders task routing)
Achieve 2x increase in visibility/clarity of project timelines for stakeholders
Requirements
2 4 years experience in project coordination operations or delivery support
Familiarity with project management platforms (Notion Asana ClickUp Trello)
Experience with automation tools (Zapier ) or AI assistants (ChatGPT Motion )
Strong organizational and communication skills async and in realtime
Detailoriented proactive and driven to simplify processes and unblock teams
Bonus: exposure to remotefirst work environments or SaaS/tech operations
