Job Description:
Job Summary
To provide efficient and effective executive administrative support to the Divisional Secretary.
Key Accountabilities
- Provide full administrative assistance including preparing documents and presentation material screening and responding to incoming correspondence inquiries and phone calls as requested and defined (i.e. letters dealing with administrative issues general inquiries acknowledgements) draft letters/emails and official information releases
- Arrange and attend meetings organize and distribute meeting agendas record prepare and distribute minutes.
- Monitor and manage inbox of Divisional Secretary (DS)
- Maintain DS calendar entries invitations and scheduling
- Organize travel arrangements and accommodations for DS
- Provide reception coverage as needed
- Maintain and distribute Divisional DISPO in collaboration with DCs E.A. and receptionist
- Coordinate registration accommodations and supplies for Leadership Retreat and Leadership Camp(s)
Education and Experience Qualifications
- Completion of a formal postsecondary / college diploma program of 2 or 3 academic years.
- Minimum of 3 years of related work experience including experience dealing with office
- A combination of training and experience in administrative skills.
- equipment and tools and senior administrative/secretarial experience
- Respect and understanding of The Salvation Army its mission culture and values.
- Strong computer skills with proficiency in Microsoft Office (Word Excel PowerPoint Outlook Publisher) and webbased software; experience with Office 365 Teams and Lotus Notes
- Strong sense of urgency and proven capability to manage time and multitask to accomplish multiple and various tasks with conflicting priorities and timelines
- Effectively and efficiently manages relationships expectations and concerns in a professional and courteous manner and develops and leverages professional knowledge and working relationships for the benefit of the organization
- Ability to maintain confidentiality and a high level of integrity
- Excellent organizational and time management skills
- Excellent research skills
- Strong communication and interpersonal skills (written and verbal)
- Must display sound judgment strong attention to detail and willingness to take initiative
- Selfstarter capable of working independently with limited direction
- Ability to work well in a teamoriented collaborative environment
Compensation:
The target hiring range for this position is $43673.58 to $54591.98 with a maximum of $65510.37.
Placement in the salary range will be based on factors such as market conditions internal equity and candidate experience skills and qualifications relevant to the role.
