Position Summary
Under the direction of the Director of Children and Families the Administrative Specialist will provide highlevel comprehensive support for a team working with First Nations to enhance the capacity for prevention services and the establishment of offices to support children and families. The Administrative Specialist will have a crucial role in ensuring the smooth operation of administrative functions and supporting the team in their efforts to develop and implement impactful prevention services in First Nations.
Key Responsibilities
- Coordinate and manage administrative and clerical tasks to support the team working with First Nations.
- Organize travel and attend meetings in First Nations to ensure a highlevel summary of discussion is captured.
- Prepare written reports of all presentations and meetings with First Nations and assist with arranging any necessary followup.
- Ensure that meeting spaces are properly requisitioned ahead of schedule and manage applicable equipment and supplies.
- Assist with organizing and scheduling meetings workshops and events related to prevention services.
- Prepare and distribute materials reports and presentations for team members and First Nations.
- Develop a highly organized system to maintain uptodate records of project activities meetings requests and correspondence to ensure appropriate followup and support the project in meeting tight time constraints and deadlines with highquality work.
- Maintain accurate records and documentation related to prevention programs and initiatives.
- Provide comprehensive support to assist with managing correspondence and followup with First Nations.
- Other duties as assigned.
Qualifications: Education & Experience
- A university degree in a related field of management and administration office administration or an equivalent combination of postsecondary education.
- A minimum of 5 years experience in administration with direct provision for children and families is required.
- Knowledge of First Nations culture history treaty and inherent rights.
- Experience working with First Nations and First Nations organizations or entities.
- Proven experience in providing advanced administrative support in a First Nations organization.
- Strong background in administrative support organizational skills and attention to detail.
- Demonstrated teamoriented skills to foster a positive workplace culture.
- Demonstrated ability to establish effective working relationships with colleagues through clear communication and teamwork.
- Experience multitasking to meet the needs of complex projects and assignments.
- Demonstrated ability to work in a rapidly evolving environment.
- Demonstrated ability to meet tight time constraints to meet deadlines with highquality work.
- Excellent verbal written interpersonal communication and presentation skills.
- Proficient use of Microsoft Office software Word Excel and Outlook.
- Adherence to office practices procedures and confidentiality.
- Ability to work flexible hours and travel upon request.
- Must have a valid Class 5 drivers license and a reliable vehicle.
- Must have a current satisfactory Criminal Record Check Clear Child Abuse Registry Checks.
