JOB DESCRIPTION
The person in this position provides support to the Facilities Services management team answers phones responds to radio calls manages payroll processes assists with assigning duties assigns substitutes submits work and purchase orders and provides clerical support as needed.

CONDITIONS OF EMPLOYMENT
- High School graduate or equivalent.
- Must present transcripts of highest level of education within thirty (30) days of hire.
- Minimum 2 years experience as a secretary.
- Must be able to perform the essential functions of the position with or without reasonable accommodation.
- Must be able to meet the Physical Demands of the position.
- Must pass a basic skills test.
- Completion of Safe Schools Web Based Training within thirty (30) days of hire and yearly thereafter.
- Must pass a background check which includes employee paid fingerprinting.
QUALIFICATIONS REQUIRED
- Strong math/accounting skills. Demonstrated ability to add subtract multiply and divide in all units of measure using whole numbers common fractions and decimals. Ability to calculate figures and amounts such as discounts interest and percentages.
- Proficient using computer programs such as Word Excel etc. Ability to function within various software programs.
- Evidence of experience and proficiency in all office procedures such as copying filing telephone etiquette bookkeeping/accounting and use of office equipment and computers.
- Demonstrated ability to define problems collect data establish facts and draw valid conclusions.
- Ability to interpret an extensive variety of instructions and deal with several abstract and concrete variables.
- Evidence of ability to establish priorities and meet deadlines.
- Evidence of ability to work under pressure with numerous interruptions while maintaining a positive and appropriate attitude and routine.

JOB RESPONSIBILITIES
- Responsible for payroll reporting adjustments and audits
- Process and track leave request forms and employee payroll. Reconcile the two by investigating for discrepancies. Process payroll information on the computer and provide accurate payroll data to the Payroll Department.
- Assist staff with payroll questions.
- Reconcile Facility employees Procurement Cards and manage the use and reconciliation of the Maintenance and Capital Projects procurement cards.
- Coordinate support for Facilities Use with the District Scheduler building staff and Facilities staff to ensure proper coverage and conditions for all District use groups.
- Assist in the collection of data for restitution for vandalism and misuse and supply is to appropriate administration official for resolution.
- Provide clerical support to the Facilities Services Director Custodial Supervisor and Capital Projects Director.
- Act as receptionist answer telephone calls and refer to the appropriate supervisor or employee.
- Operate computer using word processing software to accurately compose format input revise combine edit print and store various documents and reports including payroll memos district and state reports and other correspondence.
- Processes and assigns work order requests.
- Update and maintain Facilities Directors working files for Principal meetings.
- Update and maintain Moon Security User and Contact Lists.
- Contact custodian substitutes as required and communicates to the buildings. Tracks substitute time cards.
- Assist Nutrition Services and Custodial Supervisor with Waste Management service.
- Responsible for annual inventory documentation.
- Process and track the material and service invoices keeping an accurate running total for open purchase orders with local vendors. Reviews with the Facilities Director as needed.
- Schedule appointments arranges travel schedule reservations and registrations for business purposes.
- Complete budget and expense transfer requests for submission to the business office.
- Sort and route incoming mail. Locate and attach appropriate file to correspondence for further action by administrative staff as necessary.
- File correspondence records and reports.
- Record minutes of staff and business meetings.
- Assist in paperwork necessary for employee hiring trainings inservice etc. Maintain records to ensure driver qualifications and certifications are current at all times.
- Collect monthly vehicle log sheets and assist in distribution of vehicle fuel cards with Transportation.
- Perform all duties of the position within the scope of Kennewick School District policies and procedures including regular attendance and punctuality.
- Perform other jobrelated tasks assigned by the Director of Facilities Services.
