The Groups Reservations Coordinator supported by the Groups Manager plays a key role in managing reservations rooming lists accounts and rundowns for all groups bookings at Sofitel Brisbane Central. This position demands strong communication skills keen attention to detail and a guestfocused mindset to help ensure exceptional service and contribute to the hotels occupancy and revenue objectives. The Groups Reservations Coordinator works closely with the Front Office Sales and Marketing Conference and Events Operations and Revenue Management teams to deliver smooth and coordinated experiences for clients event organisers conference attendees and internal stakeholders.
- Serve as the primary point of contact for group reservations coordinating with sales teams and clients
- Manage the flow of reservations for assigned groups efficiently and accurately
- Create and maintain group booking details such as rooming lists arrival times and meal requirements while actively following up on pending information
- Collaborate closely with departments such as Housekeeping Kitchen Front Office and Outlets to ensure all group requirements and special requests are fulfilled
- Ensure all ad hoc group bookings are confirmed using standard group contracts outlining booking conditions deposit schedules and final room list deadlines
- Utilise standardised reports to effectively communicate group details and requirements across relevant departments
- Monitor group booking performance including wash (cancellations) materialisation (actual arrivals) and turnaways to support accurate forecasting and planning
- Support the Groups Manager in achieving monthly KPIs and contribute to the overall success of the Reservations teams performance metrics
- Maintain regular communication with the Sales and Marketing team providing feedback and forwarding potential leads from inbound and corporate markets.
Qualifications :
- Excellent organisational and multitasking abilities with a proven track record of managing high booking volumes while maintaining efficiency
- Proficient in using reservation and hotel property management systems including PMS and OPERA
- Demonstrated experience working in a reservations team within a luxury 5star hotel environment
- A strong passion for hospitality with a keen eye for detail and excellent problemsolving skills
- Outstanding communication and interpersonal skills fostering effective collaboration with guests team members and other departments
- Ability to handle multiple tasks simultaneously while maintaining focus on guest needs
- Demonstrated reliability and responsibility in previous roles.
