Description

The City of Fairburn is seeking to fill an Deputy Court Clerk position who is an experienced professional with extensive administrative and clerical duties that support the work of Municipal Court. Local or county government experience in a Municipal Court environment is a plus. This position reports to the Court Administrator.

Hiring Range: $19.77 $21.75 Hourly Rate (Depending on qualifications)

Work Days/Hours: Monday Friday
8:00 a.m. 5:00 p.m.

JOB SUMMARY
The Deputy Court Clerk is responsible for performing administrative and clerical duties in support of the work of the Municipal Court. Reports to the Court Administrator.


ESSENTIAL JOB FUNCTIONS

  • Assists with the preparation of the Court Dockets. Assures that all tickets and paperwork are ready for the Court. Maintains records of dispositions and court related files.
  • Provides assistance to the public defendants attorneys and internal customers regarding court dates and scheduled times fines pleas and other information as requested via telecommunications email or in person.
  • Researches information relating to citations and other related matters including but not limited to the retrieval of driver and criminal histories via GCIC.
  • Performs customer service functions by telephone by mail email various online portals or in person.
  • Performs routine office support functions: receives screens and directs incoming telephone calls; sorts and distributes mail; and maintains inventory of required office materials and supplies.
  • Provides customer service to police officers other courts outside agencies and the general public; according to area of assignment may answer questions pertaining to dispossessory court dates pleadings case numbers program information and filing processes; and explains court procedures to participants and advises them of their rights.
  • Prepares or completes various forms reports correspondence and other documentation according to assignment which may include including shift reports assignment sheets and satisfaction of judgment; compiles data for further processing or for use in preparation of department reports; and maintains computerized and/or hard copy records.
  • Assists the public and attorneys with all matters pertaining to Superior Court policies and procedures; scheduling court cases and resolving filing inquiries or problems as authorized; providing the public with information photocopies and microfiche copies of court records; collecting and receipting monies; and entering details into computerized accounting system.
  • Processes a variety of documentation associated with department/division operations within designated timeframes and per established procedures: receives and reviews various documentation including warrants court calendars transport/transfer orders and/or writs of possession according to area of assignment; reviews completes processes forwards or retains as appropriate.
  • Scans all required documentation in compliance with the Municipal Court Retention Schedules as outlined by Georgia Archives.
  • Attends seminars and workshops related to the Deputy Municipal Court Clerks duties and responsibilities to promote and enhance knowledge thereof.
  • Adheres to safe work practices and follows safety policies and rules and complies with all Personnel Policies and Procedures and department regulations.
  • Performs other related duties as assigned.

Qualifications

QUALIFICATIONS
Education and Experience:
High school diploma or GED (or equivalent); supplemented by one (1) years of related experience; or any equivalent combination of education training and experience which provides the requisite knowledge skills and abilities for this job.

Licenses or Certifications:

Valid State of Georgia drivers license;


Special Requirements:

Requires an acceptable comprehensive background check to include a local and state criminal history check andsatisfactory results from preemployment substance abusetesting. This position is deemed safetysensitive and is subject to random alcohol and controlled substance testing.

Knowledge Skills and Abilities:
Knowledge of basic arithmetic operations.
Knowledge of policies and procedures of City and Department
Knowledge of operation of a Municipal Court ordinances and state laws relating to traffic and other issues handled by Municipal Court.
Knowledge of pertinent federal state and local laws codes and regulations.
Ability to provide guidance assistance and/or interpretation to others regarding the application of procedures and standards to specific situations.
Ability to calculate decimals and percentages; ability to utilize principles of fractions; ability to interpret graphs.
Ability to carry out instructions furnished in written oral or diagrammatic form. Involves semiroutine standardized work with some latitude for independent judgment concerning choices of action

Ability to build and maintain positive working relationships with coworkers other City employees and the public using principles of excellent customer service.
Ability to collect fees and balance receipts.
Ability to exercise judgment decisiveness and creativity in situations involving a variety of generally predefined duties which are often characterized by frequent change.
Skill in operating modern office equipment including computers and supporting word processing and Excel spreadsheet applications.
Skill in effective customer service; excellent oral and written communication skills to satisfactorily resolve conflicts and issues; to explain established policies and procedures to employees and the general public.

PHYSICAL DEMANDS
The work is sedentary work which requires exerting up to 10 pounds of force. Work requires ability to exert light physical effort in sedentary to light work but which may involve some lifting carrying pushing and/or pulling of objects and materials of light weight. Tasks may involve extended periods of time at a keyboard or work station. Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally.

WORK ENVIRONMENT
Work is performed in an office environment. Essential functions are regularly performed without exposure to adverse environmental conditions.
