We are looking for a Ward Administrator to join our Day Surgery Team. The post holder will ensure patients visitors and staff receive professional and polite assistance at all times. The post holder will work as part of a multidisciplinary team and have responsibility for providing a high quality administrative and clerical support service to the day surgery team including booking appointments for tests preparing notes for admissions coordinating with different departments ordering stocks and help out in completing daily reports. The role requires advanced communication skill both verbal and written.

Am I the right person for this Ward Administrator role
- Well established numeracy and literacy skills (GCSE or equivalent at grade C or above in Mathematics and English)
- NVQ at level 3 or above in Business Administration (or equivalent) desirably
- Evidence of IT skills and computer data input
- Previous experience of working in a healthcare environment
- Evidence of general clerical experience
- Experience of record keeping
- Evidence of excellent customer care skills
- Experience in liaising with people and staff at all levels
- Demonstrate ability to work on own initiative and also to work as part of a team
- Professional appearance
- Ability to prioritise own workload in a highly pressurised working environment; problem solving for the benefit of the team and knowledge to develop alternative procedures
- Highly motivated enthusiastic proactive individual with excellent communication and interpersonal skills
- Demonstrate previous relevant reception experience working in a medical environment
What are the responsibilities of a Ward Administrator
- To prepare patient notes ready for the nurses to admit.
- To complete daily work hours and recharge templates.
- To ensure internal worked hours are completed daily and correctly by all staff.
- Responsible for ensuring the next months timesheets are in the folder.
- To file patient notes correctly.
- To carry out photocopying and printing patient postoperative leaflets.
- Printing the To Come In patient list and theatre list for the following day.
- Order stores and agency staff on Proactis.
- Printing off pathology results.
- Clear communication skills receiving phone calls for patients to go to theatre and to collect patients from recovery.
- To receive incoming telephone calls to the unit and take messages from all departments taking action and communicate to the Nurse In Charge/Nurse effectively.
- To ensure that all communication is within the boundaries of service user confidentiality and to seek guidance when unsure.
- Making Outpatient appointments for patients.
- To be able to access online test results for Consultants.
- Printing off patient ward sheets and ensuring the correct GP details are obtained.
- Ensure the ward diary is kept updated with patients staff training.
- Admissions book ensure correct patient labels and corresponding room numbers are there.
- To produce activity statistics monthly.
- Reporting problems to Estates/IT and ensure issues are rectified in a timely manner.
- To participate in support and supervision appraisal and performance development.
- To work towards achieving competencies outlined within the role.
- To identify issues of concern at work and alerting appropriate staff members.
- To act as an effective team member.
