Job Description

Job Title: Clerk PEIMS/Records SpecialServices

Reports to: Assistant Director for Special Services

Dept/Campus: Special Services

Pay Grade: Paraprofessional PG 5

Wage Status: NonExempt

Days: 240

Primary Purpose:

Ensure efficient operation of the Special Services office and maintain accurate records of enrollment of students with disabilities according to guidelines established by the Texas Education Agency and College Station ISD and maintain accurate PEIMS records for the department.

Qualifications:

Education/Certification:

High school diploma or GED

College preferred

Special Knowledge/Skills:

Proficient typing keyboarding file maintenance and 10key skills

Excellent organizational communication and interpersonal skills

Ability to use personal computer and software to develop spreadsheets databases and word documents

Ability to meet established deadlines

Ability to run reports and analyze reports for audit purposes

Experience:

At least one year of clerical support experience

Prior experience in administrative offices of a publicschool district preferred

Essential Job Functions:

  • Compile reports for occupational and physical therapists showing the status of prescriptions for all eligible students
  • Set up users in eSped and provide appropriate access rights
  • Manage electronic records requests through eSped
  • Complete eSped webinars independently for professional growth
  • Provide user support for eSped
  • Complete SSI paperwork requests
  • Collect and upload Medicaid forms
  • Enter data from special education documents into the districts PEIMS system to ensure accurate reporting of all required PEIMS data elements
  • Monitors and reviews ARD paperwork completed by campus personnel for errors and communicate with sending staff when corrections are required
  • Coordinate PEIMS student data with data in the Special Education Management System
  • Receive incoming calls take reliable messages and route to appropriate staff
  • Respond to and fulfill requests for special education records from parents or other districts in a timely manner via the mode requested (i.e. fax email eSped TREx)
  • Scans and maintains digital database of records for special education and dyslexia as required by office procedures
  • Ensure work is correct neat and completed in a reasonable time and meets required deadlines.
  • Responds to requests for information via mail phone or inperson; gathers appropriate forms and documents searches for and copies documents from archived records and forwards to requestor
  • Attends meetings as required and provide clerical support as needed
  • Copies distributes and files paperwork such as records or general correspondence
  • Performs data entry into automated programs to track required student information filings or other pertinent data depending on assignment
  • Prepares correspondence memos forms and reports using electronic applications software if assigned depending on assignment

Regularly sit talk or hear; frequently required to use hands to finger handle or feel; frequent repetitive hand motions; prolonged use of computer; occasionally lift and/or move up to 1050 pounds; occasionally required to stand walk reach with hands and arms; vision abilities include close vision; and color vision regularly work with frequent interruptions maintain emotional control under stress; the noise level is usually moderate. The employee may spend long hours in intense concentration which requires attention to detail and high levels of accuracy. There are a number of deadlines associated with this position which may cause significant stress. The employee must also deal with a wide variety of people on various issues. Predictable and regular attendance expected.
